How to verify material certificates for parts

Agree the certificate type before ordering, verify the issuer and results, then trace the heat or lot identifier through production records to the delivered parts. Specify the evidence before ordering

Put the material grade, product specification, delivery condition and required properties in the order. State the inspection document designation your engineer or customer specifies, who must validate it, and which results it must contain. Ask for a specimen document before approving the supplier, then require the actual delivery documents before release.

Distinguish documents by what they prove rather than their title. Ask whether results describe the supplied material or other production, and whether validation comes from the manufacturer or includes an outside inspector. A declaration alone does not give you measured properties.

Check the issuer and read the results

Request the complete original electronic document or a verifiable copy, including attachments. Compare the producer, certificate reference, material description, dimensions and supply condition with the order. Confirm suspicious documents directly with the issuer using independently obtained contact details. The test report verification guide covers the wider authenticity checks.

Compare actual results with the agreed acceptance limits, including units and test methods. Check whether chemical composition, mechanical properties and heat treatment evidence cover what you need. Do not accept a grade name or a pass stamp in place of missing results, or silently treat a different grade as equivalent.

Follow the heat or lot into the finished parts

A heat identifier links metal to a melt; a lot identifier groups material or parts under the producer’s batch system. Ask what each identifier means and which tests it covers. Match it across the certificate, incoming material labels, cutting records, production traveller and packing list. The supplier batch traceability guide explains the broader record chain.

Require the factory to show how identity survives cutting, machining and subcontracting. Where individual marking is unsuitable, agree controlled packaging and records that preserve the link. Photograph identifiers before dispatch and compare them on receipt. Keep different heats or lots distinguishable, and ask for a mapping of each delivered group to its certificate.

Decide when independent testing is needed

Arrange independent testing when results conflict, material identity is uncertain, traceability breaks, or the consequence of a wrong material justifies additional verification. Ask your engineer and laboratory to select methods suited to the disputed property. A composition check does not establish strength, toughness or heat treatment condition.

Review testing after processing that may change properties. As a project-specific example, Sellafield Ltd’s supplier manual requires laboratory revalidation when heat treatment alters the mechanical properties on the material certificate. Treat this as an example of a customer requirement, rather than a requirement for every industrial part.

Control samples and hold unresolved deliveries

Agree the test methods, acceptance criteria and sampling coverage before collecting samples. Select material from the actual delivery and record its identifiers, sampling location, photographs and custody transfers. Follow the laboratory sample chain of custody guide so the result can be linked back to the shipment.

Hold affected stock while discrepancies remain open. Testing selected samples cannot recreate missing production records or establish the identity of untested mixed stock. Ask for corrected documents, a traceable replacement or an engineering decision supported by suitable testing. Keep the release decision with the certificates and receipt records.

Frequently asked questions

Is a mill certificate enough to accept industrial parts?

Only if it provides the agreed evidence and is reliably linked to the delivered parts. Check the material condition and subsequent processing as well as the certificate.

What if the heat number does not match?

Hold the affected stock. Ask for records explaining the mismatch and confirming which certificate covers it. Do not accept an unexplained relabelled identifier.

Can independent testing replace a missing certificate?

It can establish selected properties of identified samples. It cannot recreate the original production history. Agree any alternative evidence with the engineer or customer before release.

Should I test every material batch?

Set the testing plan around failure consequences, supplier evidence, process changes and customer requirements. Agree coverage with your engineer and laboratory rather than choosing an arbitrary frequency.
