How to witness factory tests remotely
Appoint a witness who reports directly to you, agree the test script before the call, and identify the actual goods live. Appoint the witness and define their authority
Separate the factory operator, the independent witness and the buyer approving release. Appoint the witness yourself and require direct reporting, disclosure of supplier relationships and experience with the test. Say whether the witness will attend the factory while you join remotely, or also watch remotely. Factory-controlled cameras give a remote witness less control over selection and handling. Agree access to the production lot, instruments and original results before booking. Give the witness authority to request another camera angle, stop an unclear test and record a refusal. Identify the goods live before testing
Begin with a live view of the factory location, order reference, lot labels and available goods. Ask the witness to direct carton or unit selection rather than accept a prepared demonstration sample. Show serial or batch identifiers, product configuration and relevant components. Link each selected item to its test record and keep it visible as it moves to the test station.
Ask for a spontaneous camera movement or close-up to help establish that the feed is live. Record who selected and handled the goods. Agree a test script the operator can follow
Circulate a version-controlled script in languages the operator and witness understand. Define the selected goods, configuration, preparation, equipment, instrument identifiers, calibration evidence, operating conditions, sequence, duration, units and acceptance limits. Name any test method being used and have a competent specialist check that the setup can perform it. Agree these details before the session rather than negotiate a pass while watching.
Include safe stop conditions, how deviations are recorded and when a rerun is allowed. Keep the original failed result alongside any rerun. Rehearse the camera positions and connection so the witness can see the item, setup and readable instrument display together. Collect raw results and a qualified report
Agree recording permission, storage access and delivery of the evidence pack beforehand. Request original instrument exports, readings with units and timestamps, settings, observations, photographs and the full recording where available. Preserve the original files separately from edited clips. Use matching item identifiers throughout so a result cannot become detached from the goods tested.
Ask the witness to sign a report naming the script version, goods, equipment, participants and results. Distinguish what they directly observed from factory statements. Decide what the video actually supports
Video supports observations within the camera view. It cannot by itself establish material composition, hidden workmanship, instrument accuracy or the condition of untested goods. A continuous recording helps review handling but does not guarantee that the selected goods represent the shipment. Manufacturers and importers placing products on the UK market must demonstrate compliance with relevant safety requirements; a successful video session alone does not establish that.
Agree before testing which results support release and which need laboratory work or attendance at the factory. For interrupted or obscured tests, request a witnessed rerun or an on-site check. Keep the purchase decision open until the agreed evidence is complete, and record exclusions explicitly rather than describe the whole order as having passed.
