Diwali festival gifts from China: lead times
Work back from when festival stock must be ready to sell, using written milestones for production or stock picking, packing, freight, clearance and UK delivery. For a short window, compare air and express against the risk of missing sales. Coordinate the China-side milestones with Cambridge China Bridge.

Start with sale-ready stock
Diwali's date changes each year. Check the year's date and your customers' buying window, then set when stock must be received, checked and ready to sell. Use your retailer's intake deadline or your online dispatch start, rather than the festival itself.
Work backwards through UK delivery, customs clearance, freight, packing and production or ready-stock picking. Leave room for receiving checks and correcting defects. Use the shipping lead-time guide for the wider chain; the festival plan needs a clear point at which you switch transport, reduce the range or stop the order.
What each part of the quote must say
Ask the supplier and forwarder to attach a shared milestone schedule to their quotes. Each stage needs an owner, a completion date and the assumptions behind it. A freight estimate starting at departure leaves factory preparation outside the promise. Use the customs clearance guide for document preparation.
| Stage | Work to allow for | What the quote must confirm |
|---|---|---|
| Production or ready-stock picking | Making the approved product, or reserving and checking existing stock. | Production start conditions and completion milestone; for stock, available variants, reserved quantities and picking completion. |
| Packing | Inspection, any rework, labels, gift packaging and protective export cartons. | Approved artwork, packing completion, packed dimensions and weight, inspection scope and release responsibility. |
| Freight | Collection, origin handling, booking and the sea, air or express movement. | Collection date, cargo cut-off, route, booking status, estimated arrival, timing start and end points, and exclusions. |
| Customs clearance | Document preparation, declaration, release and possible checks. | Who handles clearance, document deadline, included work, timing assumptions and responsibility for delays. |
| UK delivery | Collection after release, delivery booking, unloading and receiving. | Delivery address, expected delivery date, appointment arrangements, unloading responsibility and included handling. |
Sea, air or express for a short sales window
Sea is usually a poor fit once the festival selling window is close: factory readiness still has to meet collection and sailing cut-offs, followed by clearance and UK delivery. Arrival at port is not sale-ready stock. Use dated estimates for the actual route and cargo; do not build the plan around a generic transit time.
Air or express can shorten transport, but cannot recover unfinished production or missing safety evidence. Air usually adds freight cost, with bulky gift boxes increasing chargeable weight; express may add collection and delivery convenience. Compare complete delivered quotes, including handling, clearance, surcharges and exclusions. Use sea versus air and express versus air cargo. Fly only the approved stock whose expected sales justify the extra cost.
Check China's shutdowns before committing
Golden Week can interrupt the autumn production and shipping run before Diwali sales. Chinese New Year matters when earlier production, components or replenishment cross the factory's shutdown. Consult the China holiday calendar for the relevant year's published dates, then get the factory's actual last working day, last collection and restart in writing. Public holidays do not establish the factory's closure period.
Ask separately about packaging suppliers, subcontractors and the people who release stock. Ready stock may still need labels or gift boxes from a closed supplier. Follow the Golden Week cut-off guide for booking details. Keep inspection and rework before the collection deadline; if that cannot be confirmed, reconsider the order before promising festival availability.

Resolve safety and labels before shipping
For candles, general product safety guidance aims to ensure only safe products reach the Great Britain market. Ask for burn trials covering the actual wax, wick, fragrance and container, plus final safety-label artwork. For scented candles, ask a specialist to assess the formulation and any chemical-labelling implications before approving print.
For lights, establish whether they are mains-powered or battery-powered, and check the supplied plug or adaptor, intended use and final labels against the exact model. Where electrical equipment safety rules apply in Great Britain, the importer must ensure instructions are in easily understandable English. Ask for matching test reports rather than accepting a certificate for a similar light.
For toys, manufacturers must provide safe-use instructions, safety information and warnings as appropriate. Check age suitability, small parts and the final gift-pack artwork before production. Put unresolved checks into the schedule through testing and certification. Identify whether sales are in Great Britain or Northern Ireland before settling labels. For a legal question about your responsibilities, consult a solicitor.
Frequently asked questions
When should I order Diwali gifts from China?
Check the year's Diwali date and your selling window. Work back from sale-ready UK stock through delivery, clearance, freight, packing and production or stock picking, using written milestones.
Can sea freight arrive in time for Diwali?
Only if the complete schedule fits your sale-ready deadline. Check factory readiness, cargo cut-offs, booking, clearance and UK delivery. If the selling window is close, compare air and express.
Is ready stock quicker than custom festival gifts?
It can remove production, but confirm the stock is reserved and matches your specification. Picking, inspection, labels, gift packing and freight still need a workable schedule.
Is air freight worth the extra cost for festival gifts?
Compare the extra delivered cost with the contribution from sales you would otherwise miss. Quote the essential stock separately; bulky packaging and duplicate handling can change the result.
