Heimtextil: plan Chinese supplier meetings

Start with your buying programme, then use Heimtextil’s exhibitor search to find relevant Chinese suppliers. Screen product fit, production role and willingness to provide evidence before booking meetings. Leave each stand with an identified sample and agreed follow-up. Cambridge China Bridge can support the checks through its own staff in China.

Turn your buying programme into a meeting brief

Separate retail home textiles from contract projects such as hotel bedding, restaurant linen or upholstery. State whether you need finished own-brand goods, fabric by the roll or development from a design. Include intended use, destination market, order mix, replenishment pattern, target delivery window and the evidence your customer expects.

Prepare a shareable brief using the product specification guide. For meeting screening, highlight the requirements that would rule a supplier out: construction, usable width, finish, colour matching, packing format or willingness to support repeat orders. Keep confidential artwork out of the initial enquiry.

Search by product, then screen the exhibitor

Use Heimtextil’s official exhibitor search and product-group pages together. Search separately for bed and bath linen, table and kitchen linen, curtains, decorative and upholstery fabrics, bedding, and carpets or rugs. Look across home and contract categories where your programme overlaps. Use the China country filter where available, then read each candidate’s product details.

Record the exhibitor name, relevant product, hall and stand, contact and reason for inclusion. Ask which factory would make your order and whether the exhibitor manufactures, converts fabric or trades finished goods. A Chinese contact address does not establish the production site. Check that the listing belongs to the edition you intend to visit; recheck stand details before travelling.

Qualify candidates before booking appointments

Send the same brief to shortlisted exhibitors. Ask for examples matching your construction and intended use, minimum orders by design and colour, sampling arrangements, repeat-order capability and which processes are subcontracted. Request confirmation that they can discuss your programme at the stand. Mark candidates as relevant, awaiting evidence or unsuitable, with a written reason.

For contract textiles, ask what evidence supports the proposed use, rather than accepting a general hospitality claim. Discuss abrasion, colour fastness, cleaning, dimensional stability and any project-specific fire-performance request. Ask for reports identifying the actual fabric and finish. The test-report guide explains how to assess those documents.

Run meetings around comparable samples

Group appointments by hall and leave room for walking, overruns and note-taking. Confirm the attendee, language, stand location and samples to bring. Start each meeting with your intended use and exclusions, then ask the supplier to explain how its proposed textile meets the brief. Compare quotations only after recording differences in material, finish, make-up and packing.

Give each selected swatch or finished sample a reference linked to the exhibitor, product code, composition, construction, finish and colour. Photograph it with permission and record whether it is a stock showroom sample or made for your brief. For washable goods, agree a later assessment using the wash-performance guide; handling a swatch cannot establish cleaning performance.

Make the follow-up decision explicit

Before leaving the stand, agree the next sample, documents, responsible contact and response date. Send back your meeting notes for confirmation, including unresolved deviations. Advance candidates that fit the programme and supply the requested evidence; hold those with unanswered questions. Retain rejected candidates’ reasons so attractive new swatches do not restart the same unsuitable enquiry.

Use the supplier qualification guide for the subsequent factory and pilot-order gates. Cambridge China Bridge’s own staff in China can support production-site checks and sample follow-up after the exhibition. Give them the shortlist, meeting records and sample references so checks address the proposed order. The buyer retains approval of the specification and supplier.

Frequently asked questions

How do I find Chinese textile suppliers at Heimtextil?

Start with the official exhibitor search, select relevant products and use the China filter where available. Read product details and confirm the proposed production site before booking.

What should I send before a Heimtextil meeting?

Send a shareable brief covering intended use, material and construction, order mix, destination, replenishment needs and requested evidence. Ask the exhibitor to bring relevant samples.

Can a home-textile supplier supply hotel projects?

Assess the proposed product against the hotel’s brief, cleaning regime and evidence requests. A home-textile collection or hospitality brochure alone does not demonstrate suitability.

Does meeting a supplier at Heimtextil verify its factory?

A stand meeting gives you contacts, samples and claims to check. Confirm the production site, assess evidence and complete the agreed qualification gates before approving supply.
