How to plan supplier meetings at ProPak China
Start with your production application, then shortlist suppliers across processing, filling, packaging, materials and labelling. Book meetings with technical staff and agree what each demonstration will use, measure and leave unproven. Arrange China-side preparation and follow-up with Cambridge China Bridge.

Map your application to the exhibition sections
ProPak China covers packaging machinery, food processing, filling, fermentation, daily chemical processing and packaging, smart manufacturing, packaging materials, and printing and labelling. Build your route around the stages your product passes through. A filling project may need meetings with container, closure, labelling and automation suppliers as well as the filling-machine manufacturer.
Use the organiser’s current exhibitor directory and floor plan to group relevant stands. Confirm the edition, venue and stand location before booking travel or meetings. Treat category listings as a starting point: ask each supplier which process and machine configuration it can actually demonstrate.
Send an application brief before requesting a meeting
Describe the product, its physical behaviour, operating temperature, pack format, closures and label materials. Include your required output, acceptable defects, cleaning method, available utilities and existing line interfaces. Show representative drawings or photographs and identify difficult cases, such as foaming liquid, sticky product or variable container shapes.
Ask suppliers to respond against that brief rather than send a general catalogue. Request the proposed model, configuration, exclusions and unresolved questions, using our guide to writing a factory enquiry. Keep confidential formulations out of the initial brief unless they are needed to assess suitability.
Book a technical meeting and a defined demonstration
Request an application engineer alongside the sales contact. Agree the meeting language, stand location, demonstration slot and who will record results. Ask whether your product and packaging can be used, how samples should reach the supplier, and whether the stand has the utilities and equipment needed for the trial.
Agree the demonstration inputs, settings and checks in advance. For filling, examine dose consistency, drips and foam; for sealing, inspect seal quality and leakage; for labelling, check placement and readability. Ask to observe changeover, cleaning access and restart behaviour where feasible. Record any substitute material and explain why it may behave differently from yours.
Record what the demonstration proves
Use the same observation sheet across suppliers. Record machine identity, tooling, material, settings, staffing, interruptions, rejected output and the inspection method. With permission, capture the complete operating sequence rather than selected successful cycles. Keep sample packs labelled with the supplier and trial conditions.
Distinguish observed results from sales claims and untested assumptions. Empty containers or substitute liquid cannot establish performance with your intended product. If the stand cannot support a representative run, agree a factory trial with specified materials and acceptance criteria. Exhibition performance also leaves machinery documentation and installation questions open; use our machinery sourcing guide for those checks.

Turn meetings into comparable follow-up
Send each supplier a meeting record covering the proposed configuration, demonstrated results, outstanding tests and quotation scope. Ask who supplies the adjoining equipment and who takes responsibility for integration. Keep promised performance separate from the conditions under which it was demonstrated, and request written confirmation of any changes.
Shortlist by application fit and evidence gaps. Check the actual production site through factory capability verification, then carry unresolved trial points into the purchase specification and acceptance plan. Cambridge China Bridge’s own staff in China can help clarify supplier responses and coordinate follow-up against your brief.
Frequently asked questions
Which ProPak China sections should I visit?
Follow your production flow. Include the relevant processing section, filling or packaging machinery, materials and closures, printing and labelling, and automation where it affects line integration.
Can I ask suppliers to demonstrate my own product?
Ask before the exhibition. Confirm material suitability, sample delivery, tooling and stand utilities. If a representative run is impractical, arrange a factory trial and record what the stand demonstration leaves untested.
Who should attend a supplier meeting?
Bring someone who understands your process and someone who can assess installation and maintenance. Ask the supplier to include an application engineer and agree interpreting arrangements beforehand.
Does a successful exhibition demo mean I can order?
It supports shortlisting. Record the trial conditions, confirm the quoted configuration and resolve remaining performance, integration, documentation and service questions before committing.
