Getting started

Sourcing battery-powered promotional giveaways

Before ordering, obtain the exact battery specification, chemistry, weight and model-matched product evidence. Identify who first makes the batteries available in the UK: giving them away does not remove producer duties. Supplier checks in China can be coordinated by Cambridge China Bridge.

Treat the powered giveaway as a new buying category

A buyer used to bags, pens and clothing should brief a powered giveaway separately. Describe the intended user, where it will be used, whether it recharges, and whether batteries arrive fitted, loose in the box or separately supplied. Ask the supplier to identify the actual product factory and battery manufacturer.

The promotional merchandise guide covers branding and event planning. This guide adds the battery data and responsibility checks to complete before approving an order.

Request a battery data sheet for the actual order

Ask for battery manufacturer and model, chemistry, rechargeable status, cell count, voltage, capacity and battery weight excluding the giveaway and packaging. Request photographs showing the battery, its markings, connections and compartment. For a pack, distinguish the complete pack from its component cells.

Ask whether the battery is sealed and what uses it was designed for, so its classification can be checked. Obtain storage instructions, expected shelf life, charging instructions and the supplier's transport documents for the chosen route. Put these details into the approved specification and require written approval before substitution.

Identify the producer before distributing gifts

The battery producer is the UK person first professionally placing batteries on the UK market, including batteries already inside appliances. Payment is not necessary. Map the supply chain between factory, importer, promotional agency and client; a client logo alone does not establish who is the battery producer.

If buying through a UK supplier, ask who first placed the batteries on the market and retain supporting paperwork. If importing directly, assess your own producer position before release. Use the battery producer guide for the wider registration and reporting process.

Plan registration and distinguish distributor duties

Confirm battery producer registration duties and any tonnage and chemistry reporting requirements with the relevant environmental regulator. The registration route depends on battery type and the amount placed on the market. Compile a business-wide battery forecast rather than considering only the event order, then confirm the route and reporting timetable with the relevant environmental regulator.

Supplying only equipment containing batteries does not make you a battery distributor under the technical guidance. Supplying batteries separately can, including promotional supply when you do not normally sell batteries. Tell the regulator exactly how the batteries are supplied and check distributor takeback duties separately from producer registration.

Approve evidence, then inspect the production goods

Request product and battery test reports matching the offered models, alongside the applicable declarations, marking artwork and user instructions. Compare model names, battery specifications and photographs with the sample. The test report verification guide explains how to check the evidence.

Approve a finished, branded sample with the specified battery. Agree inspection checks for charging, operation, battery compartment security, leakage, damage and document consistency. Ask Cambridge China Bridge's own staff in China to check the factory's answers and production configuration; retain the approved specification, inspection results and shipment battery data.

Frequently asked questions

Do free battery-powered giveaways create producer duties?

They can. The producer is the UK person first professionally placing the batteries on the UK market, including batteries inside products. No payment is needed.

What battery information should I ask the factory for?

Ask for manufacturer, model, chemistry, cell count, voltage, capacity, rechargeable status and battery weight, plus photographs, storage instructions and documents matching the offered configuration.

Does the client's logo make them the battery producer?

The battery producer test concerns who first professionally places the batteries on the UK market. Map the import and supply chain separately from the product branding arrangements.

Am I a battery distributor if the battery is fitted?

Supplying only equipment containing batteries does not make you a battery distributor. Supplying batteries separately can. Check your producer position independently.
