Simplified customs declarations for China imports
Simplified declarations are worth assessing when repeat imports have reliable data and someone can control the follow-up filings. Assess the authorisation, deferment arrangements and broker responsibilities before changing your clearance process. Coordinate factory paperwork with Cambridge China Bridge.

Does the extra administration suit your imports?
For repeat China imports into Great Britain, compare the broker's proposed simplified process with your current full declarations. Ask what work moves away from the border, what follow-up work remains, and whether the total administration becomes easier. Use our UK customs clearance guide for the ordinary process.
Reliable product descriptions, values and shipment records make this worth exploring. If invoices arrive late, specifications change without notice or nobody owns the reconciliation, fix those gaps first. Ask the broker to compare a simplified frontier declaration with entry in the declarant's records for your actual goods and arrival location.
Assess the authorisation and payment setup
HMRC requires a duty deferment account to be in place before it can authorise simplified declaration procedures. Establish whose authorisation and payment arrangements the proposed service would use. If seeking your own authorisation, use HMRC's simplified-procedures application process.
Ask HMRC or your broker to assess UK establishment, customs compliance history, record keeping, written procedures and software readiness before you apply. Prepare a responsibility map covering data checks, missing entries, corrections and month-end work. Review import VAT separately with our China import VAT guide.
Make the broker arrangement explicit
If you hold authorisation for simplified declaration procedures or entry in the declarant's records, you can appoint someone to act in your name. If the broker proposes using its own authorisation instead, ask it to confirm the scope and representation arrangement in writing. Our sourcing agent, forwarder and broker guide explains the underlying roles.
Agree who prepares the initial entry, submits the supplementary declaration, checks acceptance and handles the final supplementary declaration. Ask for access to declaration records, a named contact for rejected submissions and cover during staff absence. Include follow-up work and corrections when comparing broker charges.
Track each entry through supplementary filing
For the ordinary monthly process discussed here, HMRC says the supplementary declaration must be sent and accepted by the 10th calendar day of the following month. Ask the broker to confirm the reporting timetable for your proposed arrangement before dispatch.
Keep a shared register linking each shipment to its initial entry, invoice, packing list, transport document and supplementary filing. Record the owner, due date, acceptance evidence and unresolved discrepancies. Set an internal cutoff ahead of the HMRC deadline so there is time to correct rejected submissions. Ask the broker to explain any proposed aggregation before agreeing to it. For package reconciliation, see packing list and customs package counts.

Close the month and test the handover
Plan the final supplementary declaration for the eleventh calendar day after month-end. HMRC requires a final supplementary declaration by the due date even when there is nothing to report. Reconcile expected filings against the broker's completed records, and give unresolved items a named owner.
Before switching, run a rehearsal using a completed shipment. Check whether your team can retrieve the factory paperwork, match the declaration records and explain every discrepancy. Cambridge China Bridge's staff in China can coordinate supplier paperwork with the buyer and appointed broker. Keep a documented escalation route for missing data or filing problems.
Frequently asked questions
Are simplified declarations worth it for repeat imports?
Compare the total administration with full declarations. Reliable shipment data and a named owner for follow-up filings are stronger reasons to explore the route than repeat ordering alone.
Can my broker file under my authorisation?
Yes. Agree the filing and checking responsibilities.
When is the supplementary declaration due?
For the ordinary monthly process, it must be sent and accepted by the 10th calendar day of the following month. Confirm your arrangement's timetable with the broker and leave time for corrections.
Do we file a final declaration in a quiet month?
HMRC requires the final supplementary declaration by the due date even if there is nothing to report. Include quiet months in your reporting calendar.
