Find out what sets the minimum
For an Etsy shop or online seller, a useful MOQ is the minimum for your actual design, rather than a headline figure. For mailer boxes, ask whether the constraint is board purchasing, cutting tooling, printing or assembly. For pouches, ask whether it comes from film purchasing, printing, lamination or pouch making. Digital printing may remove a print constraint while leaving the material or converting minimum unchanged.
Ask whether the MOQ applies per size, artwork, colourway or material. Can different designs share a run without changing the construction? When digital print can beat offset or flexo
Ask for digital and conventional printing options against identical artwork, material and finish. Digital can win on total cost when avoiding printing plates and press preparation outweighs any higher production cost. It can also shorten the route to production when plate preparation is removed, provided material availability, finishing and the factory queue do not become the bottleneck.
For mailer boxes, ask whether offset means printing a sheet that is mounted onto corrugated board, or whether flexo prints directly onto the board. For pouches, ask how the proposed print process works with the chosen film and laminate. Compare print appearance and production suitability alongside cost. A digital sample does not establish what an offset or flexo production run will look like.
Make the quotations comparable
Send every factory the same specification and artwork revision. Request separate lines for MOQ, production goods, plates, cutting tooling, set-up, proofs, samples, finishing, packing and delivery. Ask which charges recur on a repeat order, who retains the tooling and what happens when artwork changes. Require suppliers to identify substitutions instead of quietly quoting a different construction.
Compare the total delivered cost for the quantity you can use, including surplus stock and storage. Ask suppliers to separate artwork checking, proof approval, material procurement, production and dispatch in their proposed schedule, and state what starts each stage. Approve artwork and colour separately
Use an electronic artwork proof to check spelling, artwork position, cut lines, folds, bleed and clear sealing areas. Check the mailer both flat and assembled so that the logo faces the intended direction. For a pouch, check the front, back, gusset and areas hidden by seals. Record approval against the file revision; screen approval should not be treated as physical colour approval.
Ask what a physical colour proof actually represents: a simulation on proofing paper, a digital print on the intended material, or a sample from the proposed production process. Agree a physical colour reference and viewing conditions, then assess the finished surface, including lamination or varnish. Ask the factory to flag colours it cannot reproduce satisfactorily before you approve production.
Use a pre-production sample to close the gaps
Request a sample using the agreed production material, printing process and finish. Ask the factory to list anything that differs from the planned run. Fold and pack the mailer with your product; check closure, rubbing and handling. Fill and seal the pouch with the intended contents; check usable space, opening and leakage. A blank structural sample and a separate print proof leave the combined result untested.
Retain an approved sample and have the factory retain a matching reference. Record the artwork revision, construction and accepted colour variation in the order. Agree which changes require fresh approval and compare samples from the production batch before dispatch. If a full production-process sample is unavailable, document exactly what remains unproved before committing.
Check the UK thresholds across your business
Plastic Packaging Tax registration is triggered by manufacturing or importing 10 tonnes or more of finished plastic packaging components in the last 12 months, or expecting to do so within the next 30 days. For packaging EPR, GOV.UK's obligated-producer checklist requires relevant packaging activities, UK establishment, more than 25 tonnes of packaging supplied or imported in the UK in the previous year, and annual worldwide turnover of £1 million or more. Ask for weights by component and material at quotation stage, then check them against samples. Keep a running packaging record rather than assessing each order in isolation. If your turnover or packaging weight is close to an EPR boundary, confirm your producer category using the current official guidance before relying on an exemption.
