Leftover branded boxes after a trial order

Ask the factory to reconcile the packaging you paid for, confirm the usable balance and hold it under written storage and release instructions. Record what you paid for

Before printing, ask the quotation to separate finished goods from boxes, labels and other printed materials. Record the paid-for quantity of each item, its artwork revision and counting unit. Clarify whether you are buying physical stock or paying a printing setup charge, and record the agreed ownership and release arrangements.

A packaging print minimum can leave materials after the trial shipment. Our MOQ and sampling guide explains that minimum. Here, the task is to account for the balance rather than promise a follow-on order.

Reconcile the unused balance

At shipment, request a dated stock statement showing quantities paid for, received from the printer, used on shipped goods, used for samples, spoiled, destroyed and remaining. Separate usable materials from damaged or obsolete stock. Ask for explanations and supporting records where the totals do not reconcile.

Request photographs of identified bundles, rolls or cartons alongside the count record. Specify whether labels are counted individually or by roll, and how the factory verifies the quantity within sealed packs. Photographs show identity and condition; they do not establish the full quantity by themselves.

Set a storage instruction with an end date

Ask the factory to identify the storage location and custodian, segregate your materials and mark them with your buyer name, order reference and artwork revision. Agree protection from moisture, sunlight, crushing, dust and pests, following the packaging supplier's storage advice. Check adhesive condition, print damage and carton distortion before considering reuse.

Agree storage charges, responsibility for loss or damage, access for checking or collection, and a review or collection date. State that storage creates no commitment to another order. Specify what happens if you do not reply by that date, such as continued holding with agreed charges; do not leave disposal to an unstated assumption.

Approve reuse for a specific order

Give written release approval naming the material, artwork revision, quantity and intended order. Ask the factory to prohibit use for other customers, samples, replacement goods or extra production without your approval. Recount after each authorised withdrawal so the remaining balance stays visible.

Before releasing old stock, compare it with the current product, destination, barcode, contact details and label text. Use artwork approval and label checks before printing for those checks. UK trade mark registration protects your brand only in the UK and the Isle of Man. Keep physical stock controls explicit rather than relying on registration to manage leftovers.

Close the balance if you stop buying

Choose collection, transfer to a named recipient or destruction. For transfer, agree who arranges transport, who pays and how the receiving count will be confirmed. For destruction, identify the materials and quantities, agree the method and cost beforehand, and require the branded print and labels to be rendered unusable rather than passed on intact.

Request dated photographs or a witnessed destruction record identifying the stock, quantity, method and person responsible. Reconcile the destroyed quantity against the previous balance and obtain a closing statement showing any materials still held. Address retained artwork files and printing plates separately; destroying boxes does not remove the means to print more.

Can the factory keep labels for my next order?

You can agree storage without committing to another order. Set a location, charges, review date and written release process, including what happens if you do not reply.

Can leftover packaging be used without asking me?

Give the factory a written instruction to hold it until you approve a named use and quantity. Include samples, replacements and extra production in that instruction.

How do I confirm branded packaging was destroyed?

Request a dated record identifying the materials, quantity and destruction method, supported by photographs or witnessing. Reconcile it with the stock balance and confirm what remains.
