Import product bundles: packing and stock checks

Specify each bundle with an approved contents list, component quantities, SKU mapping and packing layout. Check finished kits against that specification, and calculate available stock from complete bundles rather than loose parts. Arrange checks in China with Cambridge China Bridge.

Define the bundle before ordering

Create a version-controlled bundle specification. For every component, record its description, component SKU, required quantity per kit, colour, size and approved sample reference. Include accessories, instructions, inserts and packaging. Mark optional extras explicitly, and require written approval before any substitution.

Approve a fully packed sample alongside the contents sheet and photographs showing where each item sits. Make the quotation distinguish supplied components, assembly, packaging and loose replacement stock. State who supplies each item and who resolves shortages when components come from different factories.

Map component stock to sellable bundles

Give the finished bundle its own SKU and map it to the component SKUs and quantities it consumes. Keep channel listing identifiers and barcodes in that mapping. Record which specification revision applies to each production batch, so a changed accessory does not quietly enter an unchanged listing.

Calculate buildable bundles by dividing usable stock of each component by its required quantity per kit, rounding down and taking the lowest result. Deduct stock allocated elsewhere, damaged goods and items awaiting inspection. Track loose components, assembled kits and released finished stock separately.

Specify packing for each sales channel

Ask the receiving warehouse or marketplace for its current bundle acceptance instructions. Confirm whether the kit must arrive assembled, how the sellable unit should be sealed and labelled, which barcode should scan, and whether component barcodes should be covered. Approve separate packing instructions where channels differ.

Specify internal compartments, protection, closure, label position and outer-carton identification. Check that removing an insert cannot hide a missing accessory and that loose parts cannot damage other contents. Inspect complete kits for missing items

Require a recorded contents check before sealing. At finished-kit inspection, select packed kits across cartons and packing runs, open them, and compare actual contents with the approved specification. Check quantities, variants, accessory compatibility, instructions and the scanned bundle identity. Agree the inspection scope using our full inspection or sampling guide.

Use weight checks as a screening aid only: a wrong component or extra packing can mask an omission. Record missing, duplicate, wrong and damaged items separately. Hold affected stock, establish the extent of the problem, correct it and recheck before release. Photograph opened kits and reseal them using the approved method.

Reconcile receipts and replenish the limiting part

Reconcile dispatched kits, received kits, loose spares and shortages against the packing list. Keep suspect kits out of sellable stock until checked. UK sellers must keep records identifying product suppliers so origins can be traced. As a practical extension, link component supplier and batch records to the finished-kit batch and warehouse receipt.

Plan replenishment around the component that limits complete-kit availability, including assembly and release checks. Agree replacement-part supply and the route for repairing incomplete kits before shipment.
