Turn your BOM into a search brief

Prepare a controlled bill of materials, or BOM, extract covering the parts you want to source. Include your internal reference, manufacturer part designation where specified, function, package, electrical limits, operating conditions and expected purchasing pattern. Mark each requirement as an exact part, an alternative needing engineering approval or a custom component.

Prioritise unresolved sourcing problems: unavailable parts, uncertain origin, unsuitable packaging or a missing technical contact. Share only the information needed for screening; keep unrelated circuitry and confidential design details out of the initial brief. Use our electronics sourcing guide for the wider specification and product-evidence work.

Combine component and application filters

The organiser's online exhibitor catalogue offers product-category and application-area filters, alongside keyword search. Start with the component family, then narrow by your end application. For an industrial controller, search separately for semiconductors, sensors, power supplies and connectors, using the industrial electronics or industrial control application category.

Search again with a manufacturer name, part designation or component function. If results are sparse, remove the application restriction and examine the wider component category. Open candidate profiles and ask which offered products match your BOM. Category labels identify leads; they do not establish electrical compatibility or supply capability.

Check which edition the catalogue covers before treating a listing as a forthcoming exhibitor. Confirm attendance and booth location directly, then group confirmed meetings by hall. Keep technically relevant candidates on the shortlist even when their catalogue descriptions are incomplete.

Arrange meetings around specific BOM lines

Contact shortlisted suppliers directly. Send the relevant BOM extract and state whether you need the specified part, a proposed alternative or custom development. Ask for a technical representative who can discuss selection and qualification, alongside someone able to explain quotation and supply arrangements.

Request written confirmation of the meeting time, booth, attendee, working language and agenda. Ask the supplier to prepare datasheets, drawings, sample availability and answers to your unresolved questions. Treat an unanswered invitation as pending. Ask the organiser whether meeting assistance is available for your edition before relying on it.

Identify whether you will meet the component maker, a distributor or a trader, and who would quote and supply the order. Use our factory or trading company guide for business-role checks. A technically useful contact may still need to introduce the party that can supply your UK business.

Record an engineering decision at each meeting

Work through the shortlisted BOM lines rather than accepting a general product presentation. For an exact part, confirm the complete designation and offered supply route. For an alternative, compare package, pin assignment, electrical limits, thermal behaviour and application conditions. Record differences and unanswered questions for your engineering team.

Separate technical suitability from purchasing suitability. Ask about order quantities, packaging, quotation validity, production scheduling, lifecycle status and change notifications without treating verbal answers as commitments. Record who will provide each missing document and the agreed follow-up date.

Label samples against the BOM line and the supplier's offered designation. Keep the datasheet revision and meeting notes with them. Use our component substitution guide to control proposed changes before they enter the approved design.

Convert the shortlist into qualification work

After the show, classify candidates as exact-part sourcing leads, alternatives awaiting engineering review, custom-development leads or unsuitable offers. Send each retained supplier a written request covering the unresolved technical points and comparable quotation terms. Keep meeting attendance, sample receipt and supplier approval as separate records.

Run sample evaluation against your application before approving an alternative. Follow up on the supply route and the business behind the quotation using the checks in our Shenzhen electronics market guide. This guide adds a BOM-led exhibition workflow to those source-verification checks.

Give Cambridge China Bridge the controlled BOM extract, candidate contacts, meeting notes and outstanding actions. Our own staff in China can follow up with suppliers and coordinate site checks and sample collection. Keep engineering approval with your team and record it before authorising a component change.

Frequently asked questions

How do I find BOM suppliers at electronica Shanghai?

Search the organiser's catalogue by component category, then end application and keywords. Check candidate product ranges against specific BOM lines and confirm attendance for the edition you plan to visit.

How do I book supplier meetings before the show?

Contact suppliers with a relevant BOM extract and a technical agenda. Request confirmation of the time, booth and technical attendee. Ask the organiser about current meeting assistance if needed.

Should I send suppliers my complete BOM?

Send a controlled extract covering the parts under discussion, with enough specifications to assess fit. Share further design information when needed for a defined technical task.

Can I approve a replacement component at the booth?

Record the proposed replacement and its differences at the booth. Approve it after your engineering team reviews the documents and evaluates samples against the intended application.
