UK club film nights: permissions before buying

Before ordering, confirm public-screening rights, streaming-account permission, the venue's licensing position and age restrictions. Name the club organiser and agree which checks the venue handles. For factory specifications and equipment evidence, work with Cambridge China Bridge.

Confirm permission for the films

GOV.UK says public screenings need permission even when tickets are free. The club organiser should contact the film distributor or authorised licensing body. Request written confirmation covering the chosen film, audience, venue, dates, admission arrangements and intended publicity.

Describe the actual event, including members, guests and any fundraising. Ask whether existing venue permission covers your screening rather than assuming it does. Keep equipment approval separate, using our club equipment guide for purchase authority, venue conditions and insurance.

Check the playback source and account terms

Using a personal streaming account for public viewing may breach the service's terms. Ask the provider whether the named account permits your club screening, and ask the film licensor whether the proposed playback source is accepted. Keep both responses with the booking.

Do not treat a successful projector demonstration or a bundled subscription as approval. For seller-supplied applications and accounts, follow our streaming access guide. A television licence does not automatically grant public-screening rights; ask the venue to confirm separately whether its television-licensing arrangements cover your planned use.

Resolve the venue's licensing position

Entertainment licensing is separate from copyright permission. In England and Wales, ask the venue manager and council whether the proposed screening is covered by existing authorisation or needs another route. Community-premises exemptions have conditions, so send the council the event details before relying on an exemption.

Give the council the venue, audience, timings, admission arrangements and purpose of the event. Agree whether the club or venue will handle any application and obtain written confirmation of the outcome. For Scotland, ask the local council which route applies; GOV.UK notes that Northern Ireland may require a cinema licence.

Confirm classifications and control admission

In England and Wales, premises licences and club premises certificates authorising films must restrict children's admission according to the classification body's or licensing authority's recommendations. Ask the venue which classification and conditions apply to the exact version you intend to show.

Name the organiser responsible for checking the classification, advertising the admission restrictions and briefing whoever admits viewers. If the film is unclassified or its version is unclear, ask the council how to proceed before advertising it. Ask the council to confirm the applicable classification arrangements for screenings elsewhere in the UK.

Assign tasks before approving the projector order

Use the allocation below as a purchasing checklist and agree it with the venue. Keep the permissions, provider replies and admission plan together. As a club procedure, hold the deposit until the intended film-night arrangement is workable.

Cambridge China Bridge's own staff in China can coordinate the projector specification and factory documents. Use our equipment certification guide for those checks. Assign the UK permissions enquiries explicitly to the club organiser or venue manager in the purchase record.

Frequently asked questions

Do we need film permission if admission is free?

Yes. GOV.UK says public screenings still need permission whether tickets are sold or not. Describe the club event to the distributor or authorised licensor.

Can we use a personal streaming account?

Public viewing may breach the service's terms. Ask the provider about the named account and ask the film licensor to confirm the proposed playback source.

Does the venue's licence cover film copyright?

Entertainment licensing and copyright permission are separate. Check the venue's authorisation with the manager and council, and confirm film rights with the authorised licensor.

Who should obtain the film-night approvals?

Name a club organiser to coordinate checks. Agree in writing which permissions the venue obtains, who handles any council application and who enforces admission restrictions.
