Approval before importing a club marquee
Before ordering, get written acceptance of the exact marquee and site proposal from the landowner and event organiser, and ask the council what separate permissions apply. Have a competent specialist review structure, anchoring, weather limits and fire arrangements. Factory evidence can be coordinated by Cambridge China Bridge.

Identify who accepts the marquee and the event
Send the landowner and event organiser the proposed location, marquee model, dimensions, layout, activities and installation arrangements. Ask who reviews structural and fire evidence, what insurance documents they expect and when documents must arrive. Obtain written acceptance identifying conditions before committing to production. Our venue approval guide covers the wider process for decorations and equipment.
Ask the council whether the proposal needs planning, licensing, building control or other review, and whether its Safety Advisory Group should be consulted. HSE explains that these groups advise on safety but cannot approve or prohibit events. Record any separate permission decisions alongside the organiser's acceptance; an advisory meeting does not close those checkpoints.
Request structural evidence for the actual site
Before selecting a factory, appoint a structural specialist experienced in temporary event structures to define the evidence needed. Request drawings and calculations matching the ordered span, frame, connections, fabric, sidewalls and intended configuration. Include proposed suspended lights, signs and other loads. Ask the specialist to confirm the applicable design standards and whether an independent design check is appropriate.
Give the reviewer a site survey showing ground conditions, exposure, slopes, drainage and surrounding features. HSE guidance calls for checking ground load-bearing capacity and conditions at anchoring points. Ask for a written assessment connecting the factory design to this site, with assumptions and unresolved issues stated. A calculation for another model or location leaves that connection unproven.
Agree anchoring and an actionable weather plan
Have the specialist specify the anchor or ballast arrangement, connection details and verification method for the actual ground. Ask whether ground testing is needed and what happens if staking is prohibited or the ground becomes saturated. HSE advises considering underground services before driving marquee stakes. Do not let the installer substitute ballast, anchors or fixing positions without the designer's written review.
Request documented weather limits for erection, occupied use and dismantling, including the permitted sidewall configuration. Ask how wind is measured, including gusts and measurement location. Agree who monitors forecasts and site conditions, who stops admission, when evacuation starts and where people go. Build in time to act before a limit is reached. Ask the specialist to address heavy rain, flooding and snow where relevant.
Review fire evidence and the occupied layout
Government guidance for voluntary events says anyone providing a venue for a public event must assess fire risk and ensure suitable fire safety measures. Arrange that assessment for the intended occupancy, seating, catering, heating and electrical layout. Ask the assessor to confirm the guidance appropriate to the event's UK location and scale.
Government assembly guidance recommends proven fire performance for marquees and emergency lighting on escape routes. Request fabric and lining reports matching the supplied materials, coatings and treatments; use our test report verification guide. Have the assessor review exits, routes past guy ropes, warning arrangements, firefighting equipment and separation from cooking, heaters and fuel. Agree how people needing assistance will evacuate.

Make procurement and opening separate checkpoints
Before the deposit, obtain the reviewers' acceptance of the proposed design and evidence plan, with any conditions recorded. Freeze the materials, frame, anchors, instructions and document versions in the order. Arrange a trial assembly using our assembly instructions guide. Require review of substitutions before production or dispatch, and keep unresolved conditions visible.
Agree who erects, inspects and signs off the installed marquee before guests enter, and what triggers another inspection or closure. Keep the site assessment, installation records, weather plan and fire arrangements together for the organiser. Cambridge China Bridge's own staff in China can obtain factory documents and coordinate checks against the agreed specification. Site acceptance and the decision to open remain with the appointed event decision-makers.
Frequently asked questions
Do I need council approval to import a marquee?
Before buying, ask the council which permissions or reviews apply to the proposed site and event. Obtain the landowner's and organiser's written acceptance separately.
Will a factory structural certificate cover our site?
Have a structural specialist check that its drawings and calculations match the ordered configuration, site exposure, ground and anchoring. Request a written assessment of any gaps.
What wind speed is safe for our marquee?
Obtain limits for the exact design, anchoring and sidewall configuration from the designer. Agree monitoring and evacuation triggers that allow action before those limits are reached.
Does a fire-retardant fabric report approve the marquee?
It provides material evidence. Have the fire assessor review the occupied layout, exits, lighting, ignition sources and evacuation arrangements, and confirm what evidence the organiser accepts.
