Get approval for the actual proposal
Send the venue manager an item list with photographs, dimensions, materials, intended locations and installation drawings. Include drapes, artificial flowers, arches, illuminated signs and powered equipment. Ask who can approve the proposal and request a written response identifying accepted items, rejected items and outstanding conditions. A general statement that outside decorations are allowed leaves too much unresolved.
Ask whether approval is provisional pending samples, reports or an installer review. Record the event date, room, layout and document versions in the approval email. Ask about outside supplier policies, insurance evidence and document deadlines. Keep venue permission and product safety checks as separate checkpoints.
Agree flame evidence before choosing materials
Ask the venue which fire test method, performance classification and report format it expects for each material and intended use. For venues in England, official assembly guidance advises against placing paper, textiles and similar flimsy decorations in stairways or corridors. Show proposed positions on the layout and ask the venue to review them.
Obtain reports identifying the fabric, artificial foliage, backing, coating or treatment actually being supplied. Ask whether the evidence covers the finished assembly and request treatment and cleaning instructions. Have the venue review the evidence before approving the production specification. Separate electrical documents from venue checks
For powered signs, lighting and equipment, send the venue the exact model, power demand, plug, power supply and intended indoor or outdoor location. Request the model-specific declaration of conformity and English instructions, as covered in our certification guide. Ask the venue's electrical contractor to review compatibility and the proposed supply arrangement before ordering.
HSE guidance says new equipment should arrive safe and should not need a formal portable appliance inspection or test. Ask separately whether the venue requires inspection or testing as an entry condition, who will perform it and what records it accepts. Arrange a check for transit damage before use. A factory report does not settle how the equipment will be connected at the venue.
Agree who installs, checks and removes it
Ask about permitted fixing points, ceiling suspension, freestanding bases, floor protection, adhesives and drilling. Obtain written agreement on who may install and remove the items, access arrangements and any approved contractor requirement. Give the installer drawings, weights, assembly instructions and details of the supporting surfaces before the factory finalises the design.
Arrange a trial assembly of custom arches, backdrops and signs. Ask the installer to review stability, connections, cable routes and suitability for the planned conditions. Agree who checks the finished installation before guests enter and who can stop its use if something differs from the approved plan. Request separate approval for candles, smoke effects or other special effects.
Make approval a payment checkpoint
Before paying a custom-production deposit, resolve venue conditions, approve the sample and freeze materials, dimensions, electrical components and fixing methods. Record who pays for redesign, replacement evidence or alternative hire if approval fails. Do not assume personalised goods can be resold or that a supplier will refund them because the venue refuses them.
Before paying the balance, match the production goods and reports to the approved specification and check that the installation team has accepted the final documents.
