China shipping cut-offs: which deadline matters?
Meet every applicable cut-off for the booked sailing: booking, shipping instructions, verified gross mass and terminal gate-in. Use the current booking details, confirm each time zone and obtain written approval for any extension. Cambridge China Bridge can coordinate these checks with its staff in China.

Ask for a deadline sheet for the actual booking
Ask your forwarder for the current booking confirmation and a deadline sheet naming the booking reference, vessel, voyage, loading port and terminal. Record each cut-off separately, with its date, time, time zone, responsible person and evidence of completion. A factory's promised dispatch date does not tell you whether the shipment can catch that sailing.
Work backwards from these deadlines to inspection, packing and collection. Our shipping lead-time guide covers the wider delivery plan; this checklist covers the handover to the booked sailing.
Separate booking, documents, weight and gate-in
Use the distinctions below when asking the forwarder to confirm the booking. Do not assume that completing a task extends another deadline, or that the vessel's departure date is the delivery deadline.
| Cut-off | What to ask | Completion evidence to keep |
|---|---|---|
| Booking | When must the booking request and required details be accepted for this sailing? | Confirmed booking, rather than an unanswered request |
| Shipping instructions | When must the transport-document details reach the nominated recipient, and are amendments subject to a separate deadline? | Submission acknowledgement and any correction acceptance |
| Verified gross mass | Who submits the verified container weight, through which channel, and by when? | Receipt against the correct container and booking |
| Terminal gate-in | When must the packed container be accepted at the named terminal, and when does its receiving window open? | Terminal receipt or gate-in status, rather than truck dispatch |
Check weight submission and physical delivery separately
UK government guidance states that the shipper is responsible for providing verified gross mass to the carrier. Ask the forwarder to name the party handling submission for your booking and to provide acknowledgement. Do not treat a weight sent to the factory or driver as evidence that the carrier received it. See who arranges container weighing for the responsibility checklist.
Ask the haulier to confirm terminal acceptance, rather than arrival in a queue outside. For shared-container cargo, request the consolidator's warehouse receiving deadline as well as the container deadlines. Keep the pre-shipment inspection in the plan before cargo release.
Write the time zone beside every deadline
Ask whether each timestamp uses loading-port local time, the carrier office's time or the booking platform's display setting. Have the forwarder spell out the time zone and its offset from coordinated universal time for the relevant date. Keep the original timestamp beside any UK calendar conversion, including the applicable UK summer-time setting.
Avoid shorthand such as 'Friday afternoon' or 'end of day'. If a revised sailing or terminal appears, ask for a fresh deadline sheet. Do not move the cut-offs yourself merely because the departure date has changed.
Get any extension confirmed in writing
If a deadline is at risk, identify the exact task that will be late. Ask the forwarder to obtain written confirmation from the carrier and, for terminal receiving, the terminal as applicable. The confirmation should identify the booking, vessel and voyage, affected cut-off, replacement date and time, time zone, conditions and any agreed charges.
An extension request or a message saying 'should be fine' is not a sound basis for dispatch. Ask whether the other cut-offs remain unchanged and whether the shipment is still accepted for the booked sailing. Keep the approval and completion receipts together. If the booking moves, use what to do when freight is rolled to review the revised plan.
Frequently asked questions
Which shipping cut-off matters for my China shipment?
Plan to meet every applicable cut-off. Ask for separate booking, shipping-instruction, verified-weight and terminal gate-in deadlines for the actual vessel and voyage.
Does a confirmed booking mean my container will sail?
Do not treat booking confirmation as proof of loading. Track document submission, verified-weight receipt and terminal acceptance separately, then ask for confirmation that the container was loaded.
Are China shipping cut-offs shown in UK time?
Ask which time zone each timestamp uses. Keep the original deadline and have any UK calendar conversion checked for the relevant date and summer-time setting.
Can my forwarder extend a shipping cut-off?
Ask the forwarder to obtain written approval from the party controlling that cut-off. Keep the replacement timestamp, time zone, conditions and confirmation that the booked sailing still applies.
