Temperature-controlled shipping from China

Agree product-specific temperature limits before booking, qualify the packaging for the whole journey, and specify monitoring and handover responsibilities. Hold affected stock after an excursion until an authorised reviewer decides its disposition. Coordinate the factory arrangements with Cambridge China Bridge.

Define acceptable product temperatures

Ask the manufacturer for written transport limits supported by product stability or performance evidence. Record upper and lower limits, freezing sensitivity, and any supported allowance for time outside the range. Separate the acceptable product temperature from the vehicle setting and the external conditions the packaging can withstand. Do not accept “keep cool” as a transport specification.

For medicines, UK medicines regulator guidance relates the acceptable range to the specific product’s labelled conditions. Do not transfer a medicine’s range to food, chemicals or other goods. Ask a specialist to check the applicable product requirements before booking. Use our shipping guide for the general freight arrangements.

Qualify the packaging and transport method

Ask for qualification evidence showing that the proposed packaging maintains the agreed product range under representative hot and cold conditions. Match the tested contents, load arrangement, insulation, coolant preparation and closure method to your shipment. Include collection, transfers, clearance, delivery and a credible delay allowance in the test duration.

Choose insulated packaging, powered temperature control or a combination according to the route evidence. Specify pre-conditioning, loading temperature, airflow clearance, power provision and replenishment arrangements. Require review when the pack, payload or route changes. Our distribution packaging guide covers physical protection; thermal qualification needs its own evidence.

Specify monitoring before dispatch

Agree logger placement using the pack qualification or load temperature mapping, rather than placing a sensor wherever it is easiest to retrieve. Specify calibration evidence, recording frequency, clock alignment, battery capacity and data retrieval. Link each logger identifier to the affected cartons, pallets and batches. An equipment display alone does not establish the temperature experienced by the goods.

Set warning thresholds so someone can intervene before product limits are breached. Name the person receiving alerts and their out-of-hours substitute. If monitoring is downloaded only on arrival, arrange a stock hold until the record is reviewed. Keep the original data, not just a screenshot of the arrival reading.

Control every handover

Map custody from the factory to the receiving warehouse. At each transfer, name who checks packaging condition, logger operation, temperature-control settings and access to suitable storage. Record the time, shipment identity, condition and accepting party. Agree how loading, inspections and transfers will be handled without losing temperature protection. See our container handover guide for the wider delivery arrangements.

Put delay and breakdown instructions in the booking: where goods can wait, who can arrange backup storage, and who authorises a route change. Confirm how subcontractors receive the same instructions. Ask Cambridge China Bridge’s staff in China to coordinate factory packing records, dispatch photographs and the agreed collection handover.

Decide what happens after an excursion

An excursion is a recorded departure from the agreed product limits. Segregate affected stock and preserve the complete temperature record, packaging evidence and handover history. Notify the buyer, manufacturer and transport contact. A return to the normal range does not demonstrate that the product remains suitable.

Have a named, technically competent reviewer assess the actual temperatures, exposure duration, freezing risk and any earlier excursions against product-specific evidence. Record a decision to release, test, rework or reject, with its justification. Treat missing data as uncertainty requiring review. Keep the commercial claim separate from the product decision; our cargo insurance guide covers cover and claims.

Frequently asked questions

What temperature should goods from China travel at?

Use a written, product-specific transport range supported by manufacturer evidence. Include lower limits and freezing sensitivity. Do not choose a range solely because the carrier offers it.

Is an insulated box enough for cold-chain shipping?

Ask for thermal qualification matching your contents, packing method, route conditions and journey duration, including delays. Insulation alone does not demonstrate that the product stays within its limits.

Do I need a temperature logger inside the shipment?

Agree monitoring that represents the goods, with placement based on qualification or mapping. Specify calibration, recording frequency and data review. A vehicle display may miss conditions inside individual packs.

Can I accept goods after a temperature excursion?

Hold affected stock while an authorised technical reviewer compares the full record with product-specific evidence. Record the decision and justification. Appearance or a normal arrival reading is insufficient.
