Start with the importer's EORI number
Poland's tax authority states that EORI is an essential identifier for businesses trading with countries outside the EU: without it, you cannot clear customs. Before committing to the factory, ask your customs broker to check the importing company's EORI status and agree who will make the entry.

Agree a quote to your Polish port
You can buy from Chinese factories through a UK-based sourcing company while the goods travel directly from China to your Polish port. Name the port and delivery term in the quotation, then identify freight, insurance, destination handling, clearance and onward delivery as included or separately payable. A port quote alone does not tell you the total cost to your premises.

Settle product conformity before shipment
EU guidance says importers must ensure their imported products conform to EU law. CE marking is required only for products covered by harmonised EU rules that specifically mandate it. Ask your broker and product compliance adviser to identify the rules for your exact goods before the factory prints labels or starts the production run.
Turn that advice into a written factory brief covering applicable testing, declarations, markings, importer details and the agreed language for labels and instructions. Ask for reports identifying the actual model, materials and configuration. Compare them with the approved sample and order specification; do not accept a report merely because the product photograph looks similar.
Prepare documents for your customs broker
Agree the document pack before shipment. The commercial invoice comes from the seller named in your arrangement; the factory supplies packing details and available product test reports. We coordinate and cross-check the commercial invoice and packing list, obtain the certificate of origin where your broker requests it, and gather the agreed test reports. Have the broker review drafts before dispatch.
Polish guidance places goods brought from outside the EU under the release-for-free-circulation procedure. Appoint your own broker to handle the arrival declaration, confirm classification, customs value, origin, duty and import VAT, and deal with customs queries. The broker confirms the final entry. Check the supplier and release the shipment
