Start with the Ecuadorian importer

For importation for consumption, SENAE's official procedure lists registration as an importer in Ecuapass among its mandatory requirements. Before committing to production, ask your own Ecuadorian customs broker to check your importer registration and confirm whose details will appear on the shipment documents.

Send the broker the product description, materials, intended use, model details and proposed labels. Ask for a written checklist covering any applicable licence, product registration, conformity evidence or labelling, including what must be completed before shipment. Give us that checklist before approving the factory.

Agree a price to your own Ecuadorian port

Tell us your destination port, specification, quantity and packing requirements. We can quote to your own port in Ecuador. Ask the quotation to state the delivery term, freight, insurance arrangements and destination charges left for you to pay. Keep the goods value and transport costs identifiable for your broker.

Our overseas buying guide explains the wider service. For the commercial arrangement, read buying through a UK company. Agree who sells the goods, who issues the commercial invoice and who arranges freight before accepting the quote.

Agree the document pack before production

We coordinate the commercial invoice and factory packing list, then compare descriptions, quantities, carton details, weights and model references. Where your broker requests a certificate of origin, we agree how it will be obtained and checked. Send document drafts to the broker before shipment, especially where the UK seller and Chinese manufacturer are different parties.

We ask the factory for existing test reports and check the named manufacturer, tested model, product construction and issuing laboratory against your order. Your broker should confirm which evidence is acceptable for Ecuador. Ask them to approve label artwork before printing; record any missing reports or certificates as unresolved shipment conditions.

Check the supplier and inspect the goods in China

Our own staff in China check the supplier's identity, factory location, production capability and proposed subcontracting. We compare what the supplier claims with samples, records and the agreed factory checks. Put materials, performance, dimensions, packaging and acceptance criteria into the purchase specification.

Before shipment, we inspect against the approved sample and written specification, checking workmanship, agreed functions, quantities, labels and packing. We report defects with photographs and agree corrective work before release. Factory audits and inspections are usually included in the quote; complex checks that need a third party are charged separately and agreed in advance.

Give your broker a complete arrival handover

Agree for your own Ecuadorian customs broker to handle the arrival declaration, confirm classification and valuation, calculate the applicable duties and taxes, coordinate customs queries and organise release. Send the final invoice, packing list, transport document and agreed supporting evidence ahead of arrival. The buyer's own customs broker confirms the final entry.

Keep the inspection report alongside the shipment file so discrepancies can be compared with the goods approved in China. If you also buy for neighbouring markets, use the Peru guide and Colombia guide for those destinations, and obtain a separate broker checklist for each.
