Start with the Cambodian importer

Cambodia’s official small-business portal says importers and exporters first need to register with the Department of Business Registration under the Ministry of Commerce. The National Trade Repository also lists VAT registration with the General Department of Taxation. Identify the Cambodian importing business before paying a factory deposit.

Ask your own Cambodian customs broker to check the importer’s registration records and customs-system access. Send the product description, materials, intended use and model, and ask which product permissions, testing and labels to resolve before production. Request a written checklist for the actual goods.

Agree a quote to your named port

We can source through our UK company, with our own staff in China, and quote to your named Cambodian port. Specify the destination terminal and agreed shipping term. Ask the quotation to identify goods, freight, insurance, destination handling, clearance and onward delivery, showing what is included and what you arrange locally.

Use buying through a UK company to discuss the purchasing arrangement and buying from China outside the UK for the wider overseas service. Obtain your broker’s separate estimate for arrival costs before comparing quotations.

Build the document pack before shipment

Cambodia’s published customs declaration provisions list the commercial invoice, packing lists and transportation documents as declaration attachments. Ask your broker to review draft documents before shipment. Match the seller, buyer, product descriptions, quantities, carton details and weights across the pack.

The factory supplies packing details and available product test reports; we coordinate the commercial invoice and packing list with the selling and exporting parties. Ask us to arrange a certificate of origin where your broker requests one, and agree any additional testing. Have the broker check that the invoice arrangement, origin evidence and reports suit the intended entry.

Check the supplier and inspect the goods

Our China staff check the supplier’s identity, production location and ability to make the agreed product. We compare samples with the written specification and review available test reports against the actual model and materials. Agree which checks require a factory visit or specialist testing before placing the order.

Before shipment, inspect against the approved sample and agreed acceptance criteria, including workmanship, function, quantities, packaging and approved labels. Review findings and any corrective work before authorising shipment or the relevant balance payment. Factory audits and inspections are usually included in the quote; complex checks that need a third party are charged separately and agreed in advance.

Give your broker a clear arrival brief

Cambodia’s customs law requires goods to be declared by their owners or authorised representatives. Appoint your own Cambodian broker and agree responsibility for declaration preparation, classification and valuation checks, document submission, assessment queries, payment arrangements and release coordination. Your own customs broker confirms the final entry.

Send the agreed document pack and shipment details before arrival, and name the contact who can answer factory questions. Ask for the declaration, assessment and release records after clearance. For separate deliveries into neighbouring markets, use our Vietnam guide and Thailand guide to prepare destination-specific enquiries.
