How to brief an Amazon UK compliance agency

Give the agency a written brief identifying the products, approved evidence versions, permitted account access and statements it may submit. Separate the Amazon request from product duties

Ask the agency to preserve the exact Amazon request from your account, including the affected listings, requested documents and displayed deadline. Have it distinguish what Amazon asks for from what the applicable product rules require. Treat an accepted upload as evidence of the platform response, rather than your basis for deciding whether the product complies.

OPSS guidance says you remain responsible for product safety after placing a product on the market. Set the destination explicitly: Great Britain or Northern Ireland, and ask your compliance adviser to confirm the applicable rules. Approve an evidence pack for each configuration

Give the agency a register linking each listing and factory model to the exact product configuration, report, declaration, label artwork and instructions. Record each file’s version, approval date and approver. Mark superseded files clearly and keep the approved submission folder separate from working drafts.

Require the agency to flag mismatched names, model codes, photographs or components before uploading. Keep original reports intact; approve any translation or explanatory cover note separately. Limit account access and authority to make claims

Use named access with only the permissions needed for the assignment, where the account supports it. Keep owner credentials under your control. Record who can view requests, upload documents, edit listings and send replies. Review access when personnel change and remove it when the assignment ends.

Authorise routine uploads of approved files explicitly. Require written approval for new compliance statements, appeals, listing changes or declarations. Submission access should not be treated as permission to sign for your business. For electrical equipment covered by the Great Britain rules, OPSS says the manufacturer remains responsible for duties an authorised representative performs on its behalf.

Keep a submission record you can retrieve

Require a log showing the account, listing, request or case reference, submission time, uploader, exact filenames and versions, submitted wording and approval. Save copies of attachments, submission confirmations and Amazon’s replies in a location your business controls. Capture screenshots where they help establish what the account displayed.

Distinguish attempted upload, confirmed submission, further evidence requested and accepted response. Do not close the task on the agency’s verbal assurance. Stop and reapprove when evidence changes

Tell the agency to pause the affected submission if the factory changes a component, material, model identifier, label or instructions, or if documents conflict. Ask it to explain the mismatch and identify the affected listings. Have the appropriate reviewer approve the revised evidence and wording before submission resumes.

At handover, obtain the approved pack, submission log, correspondence, outstanding actions and access list.
