Whose UKIMS authorisation covers NI parcels?
Use the UKIMS authorisation of the business acting as importer of record, usually the sender or receiver. Agree that role before booking and give the carrier the matching authorisation and EORI details. If simplifications are unavailable, arrange a full customs declaration. Discuss the sourcing handover with Cambridge China Bridge.

Agree who acts as importer
The importer of record must hold the UK Internal Market Scheme authorisation used for the simplified movement. This can usually be the sending or receiving business. Agree the role explicitly rather than choosing whichever number is easiest to find. Our importer of record guide explains the wider distinction between importer, consignee and declarant.
Match the authorisation to the arrangement
If the sender acts as the authorised importer, supply the sender’s UKIMS authorisation number and associated EORI number. If the receiver acts, supply the receiver’s matching details. You must have permission to use the other business’s authorisation and EORI. Ask for the authorisation letter and written permission before preparing the carrier instruction.
Check eligibility before instructing the carrier
Authorisation alone is insufficient. The goods must be for sale or final use by end consumers in the UK and meet the criteria for Internal Market Movement Information. Ask the customer to describe the intended destination and use. Put the supporting documents beside the order so the person booking the parcel can check them.
Send a clear booking instruction
Tell the carrier that the recipient is a business, identify the agreed importer, and provide its matching authorisation details. Ask how the carrier wants the information supplied and request confirmation that it has been recorded for the shipment. Agree who files any declaration. Our agent, forwarder and broker guide helps you allocate the work.

Arrange the full-customs route when needed
A full customs declaration is required if nobody can act as the UKIMS authorised party or the goods fail the Internal Market Movement Information criteria. The carrier may need more information, and customs duty may be charged. Some carriers complete declarations; where they do not, the Trader Support Service may be an option. Ask who will file, what documents they need and who will handle charges before dispatch. Use our customs clearance guide to prepare the paperwork.
Frequently asked questions
Can I use my NI customer’s UKIMS number?
Yes, where the customer acts as the authorised importer and the goods qualify. Obtain permission and supply its associated EORI number as well.
Must both sender and receiver have UKIMS?
The simplified route requires the party acting as importer of record to be authorised. Agree which business takes that role and tell the carrier.
Does UKIMS cover every business parcel?
No. The goods must also meet the movement criteria, including sale or final use by end consumers in the UK.
What if neither business has UKIMS?
If nobody can act as the authorised party, a full customs declaration is required. Agree filing arrangements with the carrier; customs duty may be charged.
