Should I register for VAT before my first import?
Consider voluntary registration if recoverable purchase VAT outweighs the effect of VAT on your sales and the cost of administration. Before importing, ask an accountant to compare both options using your customer mix, selling prices and cash forecast. Shipment records can be gathered with Cambridge China Bridge.

Check whether voluntary registration fits your business
For a UK-established business below the compulsory registration threshold, ask HMRC to confirm eligibility for voluntary registration. HMRC also allows applications before taxable sales begin. Ask your accountant to confirm that your intended trading qualifies, using your product range, sales plan and business identity. Prepare supplier quotations and evidence of planned customer sales for that discussion.
Confirm with HMRC or your customs broker whether your planned import and trading activities require VAT registration. Our guide to importing without VAT registration explains that distinction and compulsory registration. This guide helps you decide whether registering before a small stock order makes commercial sense.
List eligible purchase VAT beyond the shipment
VAT-registered businesses can reclaim eligible VAT on business purchases. Give your accountant a list covering import VAT and VAT shown on relevant UK business invoices, such as storage, packaging and professional services. Flag personal use, exempt activities and any proposed accounting scheme for review. Ask for a confirmed recoverable amount rather than assuming every invoice qualifies. For gold purchases, see our guide to gold bar and coin import tax. For transport invoices, see our guide to VAT on freight and handling.
For shipment ownership and evidence, use our import VAT guide. Ask HMRC whether VAT on qualifying stock acquired before registration could be recovered after registration, rather than assuming registration before importing is the only possible recovery route. Our pre-registration import VAT guide covers those conditions without repeating them here.
Test what VAT does to customer prices
Confirm with HMRC how registration would affect VAT accounting on your customer sales. Ask your accountant to confirm the treatment of each product and sales channel. For consumer sales, compare keeping the customer's total price unchanged with raising it to preserve your revenue before VAT. The former can reduce your margin; the latter may affect demand.
For trade customers, check whether they can actually recover the VAT you would charge. Do not assume that registration alone makes VAT neutral for every buyer. Review existing quotations and agreed prices with your accountant before choosing a registration date, especially where customers have already committed to a total price.
Include the ongoing administration
Once registered, you must submit VAT returns even when there is no VAT to pay or reclaim. Budget for digital VAT records and compatible filing software, and ask your accountant whether any exemption applies. Obtain a quote for setup, routine bookkeeping and return preparation so that administration appears in the comparison.
Agree who will reconcile supplier invoices, import evidence, sales, refunds and payments. Ask the accountant to confirm the effective registration date and how to handle customer invoicing while registration is being processed. Arrange the workflow before launching sales rather than leaving it until a return is due.

Compare both options with your accountant
Use the same stock order, sales forecast and customer mix for both options. Ask your accountant to compare profit after VAT and administration, then cash needed before customer payments arrive. Use our order profit and cash planning guide to keep recoverable VAT separate from product cost and actual cash movements. For replenishment planning, see our guide to tax reserves before reordering.
Test slower sales, a change in customer mix and prices that customers will not accept. Ask for a written recommendation, the assumptions behind it and a point at which to review the decision. Cambridge China Bridge's staff in China can help gather factory invoices and packing records; your accountant confirms the VAT treatment.

Frequently asked questions
Can I register for VAT before making any sales?
HMRC allows applications before taxable sales begin. Ask your accountant to confirm your intended trading qualifies and prepare evidence of the business and planned sales.
Is voluntary VAT registration worth it for a small import?
Compare eligible purchase VAT recovery with VAT on sales and administration costs. Your customer mix and achievable selling prices matter more than the size of the shipment alone.
Will registering for VAT mean raising my prices?
For sales carrying VAT, you can model a higher customer price or retain the total price and accept lower revenue before VAT. Ask your accountant to check product treatment and existing price commitments.
Do I need VAT returns if I have no sales?
Yes. A registered business must submit VAT returns even when there is no VAT to pay or reclaim. Agree who will prepare them before registering.
