Getting started

Can I share personal data with a Chinese supplier?

Yes, if the sharing meets UK data protection rules and has a valid international-transfer route. First ask whether the factory needs identifiable information at all. Product specifications, fictional artwork and UK fulfilment can often avoid sending it. Discuss a reduced factory brief with Cambridge China Bridge.

Start with the factory task

UK data protection rules require personal data to be adequate, relevant and limited to what the purpose needs. Before sending a customer export or employee spreadsheet, ask the supplier which fields it needs and why. A garment factory can usually quote from measurements and size quantities without receiving the staff list behind them.

Build a separate factory brief instead of forwarding your working records. Remove contact details, delivery addresses, payroll information and unrelated notes. Use our product specification guide to describe the item, rather than the people buying or wearing it.

Choose an alternative before a transfer

For employee uniforms, send size totals and apply individual names in the UK. For personalised goods, approve layout with fictional details and arrange UK printing. For customer deliveries, ask whether bulk shipment to a UK fulfilment provider can replace factory dispatch to individuals. Use the artwork approval guide for the production proof.

For defects, send cropped product photographs and grouped fault descriptions instead of complete customer messages. Remove labels and identifying background details. Our e-commerce sourcing guide explains how returns can improve the specification; the factory brief can carry that learning without carrying the customer correspondence.

A code does not automatically make data anonymous

Pseudonymised data remains within data protection legislation; anonymous data does not. Replacing an employee name with a code is therefore not an automatic escape from the rules. Treat a coded order list as personal data while you still hold a way to connect it to individuals.

Before calling an extract anonymous, check whether unusual measurements, photographs, free-text comments or combinations of fields could reveal someone. Prefer fictional test records for software or artwork trials. If identification remains possible, ask your privacy adviser to assess the extract before sharing it.

Confirm the UK international-transfer route

Sending personal data outside the UK needs a valid legal gateway. Do not assume that a supplier's confidentiality promise establishes one. Ask your privacy adviser to confirm whether UK adequacy applies to the destination and recipient, or which alternative mechanism fits. UK transfer tools include the International Data Transfer Agreement and the UK Addendum to standard contractual clauses.

For destinations without adequacy, the UK framework requires assessment of risks and appropriate safeguards before transfer. Ask your adviser to document the applicable data protection test and transfer risk assessment. Include proposed remote access from China in that review, even if the files stay on your UK system.

Approve a defined arrangement before sharing

Map who receives the information: the sourcing company, factory, printing subcontractor, fulfilment provider and anyone accessing shared systems. Ask your adviser to confirm the lawful basis, what customers or employees should be told, and whether each recipient acts on your instructions or for its own purposes. Where a processor handles personal data, a processing contract is legally required.

Agree the permitted task, fields, access, onward sharing, deletion arrangements and incident contact in writing. Use a controlled transfer channel and check the actual attachment before release. Ask Cambridge China Bridge to work from a reduced brief and identify who in China would need access before supplying identifiable records.

Frequently asked questions

Can I send customer addresses to a Chinese factory?

Potentially, after checking the UK processing rules and transfer route. First consider bulk delivery to a UK fulfilment provider so the factory does not need individual customer addresses.

Can I send employee names for personalised uniforms?

First consider sending size totals and applying names in the UK. If factory personalisation needs names, have your privacy adviser approve the sharing arrangement and international-transfer route before sending them.

Does replacing names with order codes avoid the rules?

Not automatically. Pseudonymised data remains covered by data protection legislation. Keep treating the list as personal data if you can connect its codes to individuals.

Is a confidentiality agreement enough to send data to China?

Do not rely on it alone. Confirm the valid UK transfer gateway and applicable risk assessment. Also define the supplier's task, access, onward sharing and deletion arrangements.
