SDS vs dangerous goods shipping documents

An SDS explains product hazards, handling, storage and emergency measures. Dangerous goods transport paperwork describes the actual shipment; an SDS does not replace it. Separate product information from shipment paperwork

A safety data sheet describes chemical hazards and gives handling, storage and emergency information. Use it to understand the product and brief the forwarder. Treat a factory's generic sheet, covering a different formulation or model, as a document query to resolve before booking.

UK transport guidance says dangerous goods consignments must be accompanied by a transport document describing the goods and their nature. Do not treat an SDS as a substitute. Ask the forwarder to confirm the applicable declaration or transport document, and whether any exemption applies to your exact shipment.

Send a booking pack the forwarder can assess

Send the current SDS, product specification, invoice and packing-list drafts, route, destination and proposed transport method. Include package types, quantities, net and gross weights, and photographs of the packaging and labels. For chemicals, identify the formulation, concentration and physical form rather than relying on a trade name.

Ask the forwarder's dangerous goods specialist to confirm the transport classification, proper shipping name, UN number, hazard class and packing group where applicable. Ask which packaging evidence, marks, declarations and carrier approvals they want. Record the response against the actual product and route. For batteries, match the test summary to the goods

For lithium batteries, send the UN38.3 test summary for the exact cell and pack, alongside the SDS and watt-hour rating or lithium content. The existing lithium battery sourcing guide covers that document list and the wider battery checks.

Tell the forwarder whether batteries travel alone, packed with equipment or installed in equipment. Identify the cell maker, cell model and pack model. Flag damaged, returned or prototype batteries before seeking a booking. If the label, summary and specification disagree, ask the factory to explain and correct the mismatch before dispatch.

Agree who prepares and signs the documents

For sea transport, Maritime and Coastguard Agency guidance says the consignor or shipper should sign and date the dangerous goods declaration. Agree who prepares the draft, who verifies the shipment details and who signs it. A forwarder's document template still needs accurate information about the cargo.

Ask separately about the container or vehicle packing certificate: who performs the final loading, who signs, and how the certificate reaches the forwarder. Resolve contradictions before factory collection

Compare product names, model references, quantities and packaging across the SDS, test summary where relevant, declaration, invoice and packing list. Ask for clarification if the SDS transport information says the goods are unrestricted but other documents describe dangerous goods. Do not edit the classification yourself to secure a booking.

Get written carrier acceptance for the proposed cargo and route, and clarify any remaining conditions before collection. Recheck with the forwarder if the formulation, battery model, packaging or route changes.
