Resident inspector or separate visits in China?

Choose a resident inspector when critical processes need repeated observation and prompt follow-up. Choose separate visits when meaningful checkpoints can be planned and gaps managed. Neither arrangement guarantees complete coverage or independence. Agree the scope and staffing with Cambridge China Bridge.

Choose around the process you need to observe

A resident inspector is assigned to the factory for an agreed production period and attendance schedule. Separate visits bring an inspector in at agreed checkpoints. Residence can make it easier to follow changing conditions and corrective work; visits suit checks that can be tied to identifiable production stages. Start with the defects you want to prevent and when they become visible.

If a defect becomes hidden after assembly, arrange observation before that step. If meaningful checks need finished goods, keeping someone beside an idle line adds little. Use the during-production inspection guide to plan individual checks; this decision concerns the coverage around them.

Make coverage gaps explicit

Separate visits give observations from the inspected periods. Between visits, material changes, machine adjustments or rework may go unseen. Ask the factory to retain batch records, change logs and affected samples, and agree which events trigger another visit. These records support follow-up but do not turn an unobserved process into an observed one.

Resident attendance also has boundaries: breaks, other shifts, parallel lines and subcontracted work may fall outside the assignment. Ask for a coverage map naming the processes, locations and working periods included, plus the exclusions. For the distinction between attendance and checking all goods, see how to verify inspection coverage.

Separate familiarity from independence

A resident inspector can build useful process knowledge, but close working relationships can make it harder to challenge explanations. Visiting inspectors can offer a fresh view, yet still depend on factory access and may miss context. Neither attendance pattern establishes independence. Ask who employs the inspector, who directs the work and whether findings reach you without factory editing.

Keep the approved specification and defect decisions under buyer control. Ask inspectors to distinguish what they observed from factory explanations and to record restricted access. Consider a separately appointed final inspection when you want a fresh assessment of finished goods. Use the inspection-company selection guide to assess the provider.

Agree staffing and decision authority

For a resident assignment, name the inspector or required competence, attendance periods, dedicated or shared status, absence cover and handover arrangements. Confirm access to the relevant lines, records and equipment. For visits, agree booking triggers, readiness confirmation and what happens if production moves before the inspector arrives. Request a revised staffing proposal when the factory schedule changes.

Set the reporting rhythm, urgent escalation route and authority to request a production hold. Identify who can approve corrective work, accept a deviation and release goods. Plan cover for buyer decisions while production is running. Follow the guide to inspection and shipment approval when defining those separate approvals.

Commission a bounded assignment

Ask for proposals against the same process map and deliverables. Compare attendance, technical competence, reporting, gap coverage and follow-up commitments. A practical combination may be resident observation during a sensitive operation, followed by separate checks later. Define when resident attendance ends and what evidence must be handed over, rather than leaving the assignment open-ended.

Inspection findings help purchasing decisions, but importing businesses remain responsible for product safety after products are placed on the market. Keep the safety evidence review separate from the attendance decision. Cambridge China Bridge has its own staff in China; confirm who would attend your factory and the agreed coverage. Factory audits and inspections are usually included in the quote; complex checks that need a third party are charged separately and agreed in advance.

Frequently asked questions

When should I use a resident inspector in China?

When critical operations need repeated observation, conditions change during the run, or corrective work needs prompt follow-up. Agree actual attendance and access before commissioning.

Does a resident inspector check every product?

Residence describes attendance. It does not define which goods are checked. Specify the product checks, selection method and coverage of shifts and parallel lines.

Are separate inspection visits more independent?

They can provide a fresh view, but independence depends on employment, reporting and decision arrangements. Ask whether the factory can influence or edit findings.

Can I combine resident inspection with separate visits?

Yes. Use resident observation for sensitive operations and separate visits for later checkpoints or a fresh final assessment. Define handovers and responsibility for gaps.
