How to avoid container demurrage and detention

Get each charge's free-time terms and last free date in writing before arrival. Track customs, shipping-line and terminal release separately, book collection and unloading together, and keep proof that the nominated depot accepted the empty container. Separate the charges and their clocks

For planning, distinguish demurrage for the container remaining inside the terminal, detention for keeping the container outside it, and storage for the space occupied by cargo or a container. Treat these as working descriptions: ask the line and terminal which charges apply to your booking, whether equipment charges are combined, and whether storage is additional.

Free time is the allowance before the relevant charge starts. Ask for the triggering event, calendar or working-day basis, treatment of weekends and holidays, final free date and time, and event that stops charging. Get this for each charge and container. Make release dependencies visible

Keep a shared release log showing each outstanding action, its owner and the confirmation needed. Ask the customs agent for clearance status, the shipping line for document and payment release, and the terminal or forwarder for collection availability and remaining holds. A submitted declaration, an arrival notice or a paid freight invoice alone should not be your instruction to dispatch a lorry.

GOV.UK says a clearance message is sent through the customs declaration service when customs have cleared the goods. Ask your agent to confirm that message rather than reporting only that the declaration was accepted. Book collection, delivery and unloading together

Ask the haulier to plan around confirmed availability and the last free collection date. Align the terminal collection slot with a receiving appointment, vehicle access, unloading equipment, labour and space. Agree who checks release before dispatch, who can change the booking, and what cancellation, waiting or failed-delivery charges the quote excludes. Recheck the plan when arrival, discharge or release changes. If collection cannot fit within free time, ask for an extension and price alternative arrangements before authorising them. Plan empty return before the container leaves port

Detention can apply when the empty container is not returned to the agreed location within the agreed period. Before collection, confirm the nominated return depot, acceptance instructions, booking arrangements, opening hours and last free return date. Ask the haulier who will arrange return after unloading and how changes to the nominated depot will be handled.

Obtain the depot's empty-container acceptance receipt or equipment interchange record showing the container identifier, depot and acceptance date and time. A delivery note proving your goods arrived does not prove the empty was returned. If a depot refuses the container or no return slot is available, save the refusal or booking evidence, notify the line immediately and request written alternative instructions.

Close the file against the actual movements

Keep the agreed free-time terms, extension approvals, release confirmations, collection record, delivery note and empty acceptance evidence together. Compare any invoice with the relevant start and stop events, tariff basis and agreed payer. Query overlapping lines or missing credits with the records attached; ask what each charge covers before assuming it is a duplicate.

Give a named coordinator responsibility from pre-arrival documents through empty return. Document coordination reduces avoidable delays but does not guarantee a charge-free shipment.

What is the difference between demurrage and detention?

For planning, demurrage concerns the container inside the terminal; detention concerns keeping it outside. Check your booking because equipment charges may be combined and storage may be additional.

When does container free time start?

Ask for the exact triggering event and counting basis in your booking terms. Get the final free date and time confirmed for each charge; do not calculate everything from the vessel's arrival.

Does customs clearance mean I can collect my container?

Confirm shipping-line release, terminal availability, remaining holds and a collection slot as well. Ask the agent and haulier to verify the complete release position before dispatch.

How do I prove an empty container was returned?

Keep the nominated depot's acceptance receipt or equipment interchange record with the container identifier, depot, date and time. A goods delivery note or return booking alone is insufficient evidence of acceptance.
