How to save WeChat chats about a China order

Keep the original WeChat conversation and save readable copies, playable voice notes and original attachments in your order folder. Preserve the conversation with its context

Before paying or approving production, save the relevant conversation from the initial request through the supplier’s reply and any correction. Include the contact profile, account identifier, group name, participants, message dates and surrounding discussion. Record which business each participant represents and the time zone shown. Our WeChat etiquette guide covers how to conduct the conversation; this guide covers keeping it usable afterwards.

Keep the messages on the original account and device while arranging a backup. Capture overlapping screenshots so the sequence is clear, without cropping away names or dates. Keep untouched captures separately from highlighted or translated working copies. Record when and how you captured them. Before replacing a phone, clearing storage or reinstalling the app, check that your saved record can be retrieved.

Save voice notes and attachments separately

Play each important voice note and check that the original remains available. Where your app offers a supported way to preserve audio, use it and test playback. If you cannot save the original audio separately, retain the source conversation and make a clearly labelled playback recording as a working copy. Add a transcript identifying the speaker and message date; keep translations separate and ask the supplier to confirm any unclear decision in writing.

Download drawings, quotations, photographs, videos and spreadsheets into the order folder. Open the saved files rather than relying on chat previews or thumbnails. Preserve original filenames and file contents, with a separate index linking each attachment to its sender, message date and purpose. If something will not open, ask the sender to resend it and record that it is a replacement received later.

Link each decision to the order

Create an order index naming the buyer, seller, order reference, product and relevant order line. For each decision, record the subject, message location, attachment filename, document revision, person confirming it and status: proposed, confirmed, superseded or unresolved. Someone opening the folder should be able to find the supporting conversation without searching a personal phone.

For example, link packaging approval to the exact artwork file and affected product, then link the supplier’s confirmation to the purchase order or change record. Keep earlier artwork and discussions labelled as superseded rather than overwriting them. Use our purchase orders, proformas and commercial invoices guide to distinguish the documents that belong alongside the chat.

Confirm decisions by email

After an important discussion, email the supplier’s authorised contact with the order reference, exact decision, affected goods and named attachments. Ask for explicit acceptance or corrections. Suggested wording: “Please confirm that the attached specification is the agreed version for this order and replaces the previous version.” Save your sent email, the reply and their attachments in the order folder.

Mark unanswered summaries as awaiting confirmation. If the email conflicts with the chat, ask the supplier to resolve the difference before you issue production, payment or shipment instructions based on it. For amendments, follow the verbal order changes guide, including the contract’s change procedure, rather than treating an email summary alone as completion of that procedure.

Test retrieval and assign responsibility

Keep a backup separate from the working phone and order folder. The National Cyber Security Centre advises checking that you can restore a backup and that it contains your important data. For this order, retrieve saved messages into a separate test location, play the preserved audio and open attachments. Where retrieval depends on an app backup, test its supported restoration process without overwriting your live conversation.

Ask a colleague with authorised access to locate a confirmed decision using only the order reference and index. Record the test date, files checked, missing items and corrective action. Repeat after changing the device, backup method or archive structure. Name who saves new records, who checks retrieval and who receives the archive if a colleague or sourcing contact leaves. Agree how your UK team and China-based staff will share the confirmed record.

Frequently asked questions

Are WeChat screenshots enough for my order file?

Use screenshots for readable context, but retain the source conversation, playable audio and original attachments too. Keep names, dates, questions and replies visible, and link them to the order.

How do I preserve WeChat voice notes?

Use a supported audio-saving method where available and test playback. Otherwise retain the source chat and label any playback recording as a working copy. Keep transcripts and translations alongside it.

What should I confirm with the supplier by email?

Confirm decisions affecting specifications, price, quantity, packaging, delivery or payment. Identify the order and exact attachments, request explicit acceptance and follow the contract’s change procedure.

How do I check my WeChat backup works?

Retrieve messages, play audio and open attachments from the backup. Ask an authorised colleague to find a decision using the order index. Record gaps and fix them before relying on the archive.
