Factory says independent inspection is unnecessary?
Acknowledge the factory's checks, then explain that you need evidence collected for your own acceptance decision. Before ordering, propose a written scope covering the actual batch, inspector-selected samples, access, reporting and buyer approval before release. Cambridge China Bridge can coordinate this with its own staff in China.

Explain the evidence you need before ordering
Treat the factory's checks as a starting point. Ask for its checklist and a completed report showing how it identifies the batch, records measurements and handles failures. Explain which purchasing decision remains unanswered: whether the goods offered for shipment match your agreed specification. Our inspection guide covers when checks are useful.
For products placed on the UK market, manufacturers and importers need to demonstrate compliance with relevant safety requirements. Keep that evidence task separate from your commercial acceptance check. An inspection report records findings within its scope; it is not a blanket product certificate. See what different reports prove.
Send a calm reply that keeps the discussion specific
Suggested reply: “Thank you for explaining your internal checks. Please continue them and share the records for our order. We also need a check arranged on our behalf, with evidence from the actual batch against our approved specification. This helps us make our acceptance decision and resolve discrepancies while the goods are still at your site.”
“Before we place the order, please review the inspection proposal below and identify any access, testing or confidentiality concerns. We can agree practical arrangements in advance. Please confirm each point or propose a specific alternative so that inspection access forms part of the agreed order.”
Put the proposed scope in writing
Suggested scope: “The check will cover the named order, product variants and identified production lots at the agreed site and stage. The attached specification revision, approved sample, packaging requirements and acceptance plan will be the inspection basis. Agree the sampling method, sample size, defect limits, measurements, function checks and packaging tests before production. Record any excluded checks.”
“Our appointed inspector will report directly to us, identifying the batch, samples examined, results, defects and supporting photographs. Checks that cannot be completed will be marked as unverified, with reasons. Agree destructive tests, replacement samples and associated costs before the visit.” Use our inspector-selection guide when appointing the person who will carry out this brief.
Agree access that makes the scope possible
Suggested access wording: “Please provide access to the identified inspection lot so our inspector can select cartons and units, open packaging and examine the selected goods. Please provide a suitable workspace, relevant checking equipment, order records and a factory contact. Confirm readiness before the appointment and disclose any goods held at another site.”
“Agree site safety arrangements and confidentiality restrictions before the visit. Photographs may exclude unrelated products and processes, but must still document our goods and findings. Any restriction preventing sample selection, an agreed test or supporting evidence will be reported to us for a decision.” An escorted visit can be workable; factory-selected display samples alone do not fulfil this proposal.

Set the release decision and handle objections
Propose this release wording before committing: “Please do not ship until we have reviewed the report and issued written shipment approval. Agree balance-payment conditions in the order. For failed or incomplete checks, agree corrective action, responsibility for costs and any further inspection before requesting release.” Obtain explicit written agreement from the factory contact responsible for the order.
If the factory objects, ask whether the concern is disruption, confidentiality, testing damage or cost, and offer arrangements addressing that concern. Keep a written record of unresolved points. If meaningful access remains unavailable, pause the order decision rather than treating an internal report as equivalent evidence. Our access-refusal guide covers what to do when a visit is blocked.
Frequently asked questions
Can I rely on the factory's own inspection report?
Use it to understand the factory's controls and compare findings. It does not provide the same evidence as a check arranged on your behalf with access to the actual batch.
What should I say when a factory says inspection is unnecessary?
Thank it for its checks, explain the evidence you need for acceptance, and send a written proposal covering scope, sample selection, access, reporting and release.
What if the factory will not allow photographs?
Ask what it needs to protect. Agree photographs limited to your goods and findings. If restrictions prevent usable evidence, record the gap and resolve it before committing.
Should I place the order before inspection access is agreed?
Settle access and scope before committing. Ask the factory to confirm each point or state exceptions in writing, then decide whether the remaining evidence gaps are acceptable.
