Correct a customs declaration after clearance
Ask the broker for the filed entry and clearance confirmation, then record the incorrect field, the correction and supporting evidence. Choose HMRC’s route according to the tax effect and declaration type, and keep the submission and outcome together. Cambridge China Bridge can help assemble the factory paperwork.

Obtain the entry that was actually filed
Ask whoever submitted the declaration for the complete filed entry, its movement reference number, acceptance date and clearance confirmation. Request every goods item and the tax calculation, rather than just the broker’s invoice. Confirm which business appears as importer and whether the declaration was standard, simplified or supplementary.
Compare the entry with the documents used at shipment, following our customs paperwork guide. Ask the broker to identify any later versions or corrections. Preserve the original file so your explanation shows what was declared at the time.
Document the error before requesting a correction
Make an amendment schedule showing the goods item, declaration field, original entry, proposed correction, reason and supporting document. For a value error, separate the invoice currency, goods value and freight allocation. For a classification error, attach a precise product description, materials and intended use. For a procedure error, consult our procedure code guide.
Ask the broker to calculate the effect on duty and import VAT separately, including the payment method originally used. Keep invoices, packing lists, transport documents and relevant correspondence together. Request corrected factory documents that explain the discrepancy; do not overwrite the originals or treat a revised invoice as proof that HMRC has accepted an amendment.
Choose the tax correction route
For underpaid duty, use HMRC’s online voluntary clearance amendment service, identified as C2001 in its amendment guidance. If postponed VAT accounting was selected on the original declaration, underpaid import VAT belongs on the VAT return instead, even if that selection was an error. Give the broker and accountant the same amendment schedule.
For overpayments, follow HMRC’s repayment guidance: an importer with an EORI whose entry was made through the Customs Declaration Service uses that repayment service; C285 applies in the circumstances HMRC lists. VAT-registered businesses correct overpaid import VAT through their VAT return, rather than claiming it through C285 or the online repayment services. For missing goods, use our short-shipment guide.
Handle importer details and other amendments
For incorrect importer details on a standard declaration, use the Belfast post-clearance team’s email route specified in HMRC’s amendment guidance. Assemble the entry reference, correct importer details, original authority to declare, explanation and commercial invoice. Importer details can be corrected after clearance only when incorrect. For other amendments requiring notification, use the online notification form under ‘Other amendments’ on that guidance page.
Before submitting a non-tax change, check HMRC’s list of fields for which commercial records alone suffice. Simplified frontier and relevant supplementary declarations have separate amendment guidance, so ask the broker to identify the applicable field and process. Start with our simplified declarations guide, then use HMRC’s current instructions for the correction.

Keep the submission and outcome together
After clearance, the declaration remains viewable but cannot be amended or cancelled in your declaration software. HMRC’s standard amendment guidance allows up to 3 years from acceptance or the application of a control to the goods, whichever is earliest. Check the specific route promptly: that general limit should not be assumed to cover every simplified amendment or withdrawal.
Agree who will submit the request, answer queries and reconcile the outcome. Keep the submitted answers, attachments, reference and HMRC response with the entry. Track the duty and VAT adjustments separately. Ask the broker to explain how the accepted correction is recorded, and update the instructions for repeat shipments so the same error is not copied forward.
Frequently asked questions
Can my broker change the entry after clearance?
The broker cannot amend a cleared entry in declaration software. Ask them to identify the applicable HMRC route and provide the submission reference and outcome.
What should I ask my customs broker for?
Request the complete filed entry, movement reference number, acceptance date, clearance confirmation, tax calculation and any later versions. A freight invoice does not show every declared field.
Which form corrects a customs declaration?
There is no universal form. Underpayments use the voluntary amendment service; overpayments follow repayment guidance. Incorrect importer details and other notified changes have separate routes.
Does correcting the entry also refund import VAT?
Check VAT separately. VAT-registered businesses should ask HMRC or their accountant to confirm how to correct overpaid import VAT and whether a VAT return adjustment is needed. If postponed VAT accounting was selected, underpaid import VAT is handled on the VAT return.
