How to collect an LCL shipment from a UK depot

Send a haulier only after the depot confirms your own consignment is located, customs release is accepted, commercial holds are cleared and a collection slot is booked. Match the house bill to the depot stock reference, then book against the actual collection units, weight and dimensions—not just the supplier’s carton count.

Make the dispatch decision against your consignment

For a less-than-container-load (LCL) collection, ask for confirmation against your house bill or house sea waybill and the depot’s stock reference. Turn a vague “arrived” update into a written answer to each check below.

Send the questions to the forwarder and copy the depot. Assign unresolved items to a named person and request the next update before committing the vehicle. If you are still choosing the shipping arrangement, see LCL or FCL.

Build a reference chain the depot can use

Put the consignee, house-document reference, depot stock reference, package marks and packing-list count in one collection instruction. Ask the depot which reference the driver must quote. Include the container number as supporting information rather than assuming it identifies your particular consignment.

Ask the depot to distinguish the original packages from the units it will load: loose cartons, pallets or crates. Request the carton-to-pallet breakdown, gross weight, overall dimensions and any overhang. Resolve differences between the supplier’s packing list and the depot’s collection record before choosing the vehicle.

Use UK customs clearance documents to organise the broker’s paperwork and bills of lading, sea waybills and cargo release to check the transport-document arrangement.

Separate customs permission from a collection booking

HMRC’s temporary-storage guidance requires the operator to hold evidence that customs have authorised release before allowing removal. Ask the broker for the release evidence and the depot to confirm that it has accepted it for your consignment. Treat an unresolved customs hold as a stop on ordinary collection.

HMRC also says individual packages in temporary storage cannot be broken up except for essential examination or preservation. If you need to open cartons, take samples or repack before release, ask the broker and depot to establish the permitted procedure first.

Agree the loading method and the cost clock

Before booking, ask whether loading is by forklift or loading bay, whether the vehicle needs side or rear access, and who provides any tail lift or pallet truck needed at the delivery address. Give the haulier the confirmed collection-unit dimensions and gross weight, and ask it to confirm vehicle suitability.

HSE advises companies involved in loading and unloading to agree the arrangements in advance. Have the depot, haulier and receiving site confirm who loads, who unloads and what equipment will be available.

Obtain the last free storage date and time, the charging unit, the rate and whether weekends count. Ask about booking changes, failed collections, waiting and loading charges. Use the depot’s written terms rather than assuming a free period; see demurrage, detention and storage charges.

Worked example: reconcile cartons and pallets

Hypothetical example: the supplier’s packing list shows 12 cartons. The depot offers 2 wrapped pallets and confirms that each contains 6 cartons. The arithmetic reconciles: 2 × 6 = 12. Give the haulier the dimensions and gross weight of the 2 loaded pallets, rather than booking space for 12 loose cartons.

If the depot instead confirms only 11 cartons, ask for its receiving discrepancy report and a search for the missing carton. Agree in writing whether to wait or collect the available goods, and have the broker confirm whether a partial collection is permitted under the customs arrangement.

If wrapping prevents the driver from checking the inner carton count, ask the receipt to distinguish “2 wrapped pallets collected” from “12 cartons individually checked”. Record what was actually verified.

Give the driver an exception procedure

Send the confirmed address and slot, house and depot references, accepted collection authority, expected loading units, package marks and an escalation contact. Ask the driver to report missing labels, a different count, wet or crushed packaging, broken wrapping or damaged pallets before leaving.

Photograph discrepancies where the depot permits it and describe them on the collection receipt. Ask for a copy of the receipt and notify the forwarder promptly. A collection check records visible condition; arrange any necessary contents inspection separately. For the next steps, see faulty goods and claims.

Frequently asked questions

The forwarder says “released”. Can I send the driver?

Ask what has been released: customs, transport documents or a payment hold. Obtain the depot’s confirmation that your consignment is physically available and accepted for the booked collection.

Can I collect in my own van?

Give the depot the vehicle details and give the haulier or driver the actual loaded dimensions and gross weight. Obtain confirmation of access, loading compatibility and vehicle suitability before travelling.

Should the driver sign for cartons inside wrapped pallets?

Ask the receipt to record the units and condition actually checked. Where inner cartons cannot be counted, record that limitation and obtain the depot’s carton-to-pallet breakdown separately.
