How to check parts from Chinese suppliers fit

Agree controlled interface drawings, check tolerance stack-ups at their limits, then assemble mixed parts from the intended production process. Define the fit before checking the parts

Write down what the assembled interface must do: slide freely, locate securely, seal, align or retain a load. Define acceptable clearance, movement, insertion effort and functional behaviour for the intended conditions. Specify whether replacement parts must fit existing stock without adjustment. Ask the design owner to issue an interface drawing showing the mating features, datum surfaces used as measurement references, units, tolerances and revision. Include hole position, orientation, shape and finished surfaces where they affect assembly. State whether dimensions apply after coating or other finishing. Have each supplier confirm how its component drawing implements the shared interface.

Check the tolerance stack at its limits

Ask an engineer to trace the dimensions that control the assembled gap, overlap or alignment. Combine their permitted limits in the directions that produce the tightest and loosest assembly. For a shaft and bore, compare the largest permitted shaft with the smallest permitted bore for tightness, then the opposite limits for looseness. Include coatings, seals, spacers and positional variation where relevant.

Record the resulting assembly limits against the functional acceptance criteria. If permitted parts can produce an unacceptable assembly, revise the design or relevant tolerances before ordering. Do not tighten every dimension automatically. If a supplier proposes a statistical stack-up, ask for its assumptions and production data; an estimate of likely fit does not establish fit at every permitted extreme.

Agree how the factories will measure

Create a measurement plan for the critical interface features. Agree the datum setup, instrument or fixture, measurement locations and finished condition of the part. Ask suppliers to demonstrate the method on shared parts and compare results before accepting their reports. Request calibration records and discuss measurement uncertainty when results are close to an acceptance limit.

Keep actual readings linked to part identity, batch and drawing revision rather than accepting a report that only says passed. A functional gauge can help check an interface, but define what it checks and how wear is monitored. It does not replace checks of features it cannot assess. Run an assembly trial that exposes adjustments

Use parts made with the intended tooling, materials, finishing and assembly process. Include output from different mould cavities, machines or setups where relevant. Have the intended assembler use the agreed tools and sequence. Check alignment, insertion effort, fastening, sealing and movement as applicable, then test function under the intended loads and conditions.

Record the component identities and every failure or adjustment. Filing, drilling, shimming, selective matching or unusual force can hide an interface problem. If adjustment is part of the intended design, document its method and limits; otherwise investigate it before approval. Keep the trial record alongside the approved samples, using production sample control for their identification and storage.

Prove interchangeability and control repeat orders

Disassemble trial units and swap mating components between them, including across relevant batches and tooling sources. Select parts from production stock rather than allowing the supplier to choose matching sets. Include measured parts near tolerance limits where available. Random swapping tests the combinations tried; combine it with the stack-up review rather than treating it as proof that every possible pairing fits.

Agree a release record containing the current drawings, stack-up review, measurements, assembly results and unresolved issues. Keep approved earlier stock for replacement-fit trials on repeat orders. Review changes to tooling, material, finishing or suppliers for their effect on the interface and repeat affected checks. What should I do if suppliers disagree about fit?
