What to check on a shipping agent’s arrival notice
Match the notice to your shipment, confirm the expected arrival and actual collection location, then check release conditions and collection deadlines. An agent’s notice helps organise delivery; it is not proof of customs clearance or the carrier’s customs arrival notification. Cambridge China Bridge can help coordinate shipment paperwork.

Match the notice to the shipment
Check the consignee, bill of lading reference, booking reference, vessel and voyage, container numbers and cargo description against your transport documents. For consolidated cargo, ask the agent to identify both the overall shipment reference and the reference for your consignment. Query missing or conflicting details before authorising collection.
Confirm who issued the notice and who handles destination release. If the sender is unfamiliar, verify their involvement through your existing forwarder contact. Send discrepancies to the agent and broker together, using the document checklist in UK customs clearance documents.
Separate arrival, discharge and availability
Ask whether the date shown is the vessel’s expected arrival, expected discharge or the date your goods should become available for collection. An expected arrival is a planning estimate. Ask who will confirm changes and actual availability before committing a vehicle or warehouse slot.
Check the port and named discharge terminal, then request the collection address, postcode, depot contact and booking instructions. For part-container cargo, ask whether collection is from a separate unpacking warehouse. Do not send a driver to the discharge terminal simply because it appears on the notice.
Confirm every release condition
Ask the shipping agent to list outstanding transport-document requirements, charges and release instructions, including who issues the delivery order or collection authorisation. Confirm whether original documents are required or the agreed electronic release has been recorded. See shipment awaiting bill-of-lading release for that specific blockage.
Separately ask the broker to confirm customs release and any outstanding checks. Ask the agent or terminal whether any other hold remains and what the driver must present. The arrival notice alone does not establish that collection is authorised. The wider clearance process is covered in UK customs clearance.
Get deadlines and charges in writing
Request the last collection date and time, the applicable time zone, the free-time start event and the charging terms that apply afterwards. Ask whether weekends and holidays count. For containers, also confirm the empty-return deadline and nominated return depot. Do not calculate deadlines from the expected arrival date unless the agent confirms that basis.
Keep storage, container-use charges and collection booking cut-offs distinct. Ask who will resolve a hold if it threatens a deadline, and request written confirmation of any extension. Use demurrage, detention and storage charges for the charge distinctions; this notice check should establish the actual dates and responsible contacts.

Distinguish the agent’s notice from HMRC notification
The shipping agent’s arrival notice is a commercial message used to organise release and collection. HMRC’s safety and security guidance describes a separate customs arrival notification that links previously submitted entry summary declarations to the cargo carried on the vessel or aircraft. Receiving the agent’s email is not evidence that this customs notification has been submitted.
Keep the geographical scope clear: the customs arrival-notification passage concerns Northern Ireland, and HMRC says its import control system is only for goods entering Northern Ireland within the UK. For Great Britain, the reference guide explains the separate safety and security declaration process. Ask your forwarder to identify the process for your destination rather than treating similarly named notices as interchangeable.
Frequently asked questions
Does an arrival notice mean my goods have cleared customs?
No. Ask the broker to confirm customs release and the shipping agent to confirm transport-document release and any remaining terminal or warehouse hold before booking collection.
Is the discharge terminal always the collection location?
Do not assume so. Ask for the collection address and booking instructions. Consolidated cargo may be collected from a separate unpacking warehouse.
What if the arrival notice has the wrong shipment reference?
Send the mismatch to the agent and broker with the relevant transport document. Request a corrected notice and confirmation that release instructions relate to your consignment.
Which deadlines should I ask the shipping agent for?
Ask for collection and booking cut-offs, the free-time start event, the last free collection date and any empty-container return deadline. Confirm the time zone and whether weekends and holidays count.
