How to check production progress remotely

Ask for dated evidence tied to your order, a quantity breakdown by current production stage and a record of what changed since the previous update. Use buyer-directed live video to query gaps and independent site checks to test factory claims. Agree this reporting plan with Cambridge China Bridge.

Agree what each progress update must contain

Before production starts, agree the reporting schedule, factory contact and evidence required at each milestone. Each update should identify the order, product variant, specification revision, production site and reporting date. Record the planned milestone date separately from the actual status and the factory's revised forecast.

Define what counts as started, assembled, checked and packed for your product. Identify work sent elsewhere and who will report its status. Use the approved sample guidance to establish the comparison reference; this progress record tracks whether the order is moving through the agreed process.

Reconcile quantities without counting goods twice

Ask for quantities by variant and current location. Use mutually exclusive categories so a packed unit is not also counted as work in progress. Record materials separately in their own units; available components do not establish how many finished products exist. Keep rejected goods, rework and scrapped units visible.

Compare the current breakdown with the previous update and the ordered quantity. Ask the factory to explain movements between stages, unexplained reductions and shortages. If it also reports cumulative output, label that separately from the current stock position.

Make photographs and live video order-specific

Request an overview showing where the batch is held, followed by close-ups of its identifiers, current operation and relevant product details. Ask for the capture date and original files. A date written beside goods helps identify an update, but does not independently prove when it was captured or the total quantity present.

During a live call, choose the labelled batch, carton or work area you want shown. Ask the operator to move from the overview to the selected goods and explain how they match the production record. Record interruptions, inaccessible areas and anything not shown. A factory-controlled camera still limits what you can verify.

Use independent spot checks to test the claims

Brief a checker independent of the factory with your order, specification, latest quantity breakdown and the claims you want tested. Ask them to select goods from the identified batch, compare records with physical stock and report how quantities were established. Request dated findings that separate direct observations, sampled checks and statements supplied by factory staff.

A spot check covers the goods and areas examined at that visit. It does not prove the entire order is complete or predict later output. Cambridge China Bridge has its own staff in China; agree who will attend and whether a separate specialist is needed. Use the quality inspection guide for batch acceptance and the audit report comparison for factory capability.

Turn gaps into actions and keep the history

Maintain a dated log containing each update, its evidence, the previous forecast and unresolved questions. When quantities do not reconcile, images are reused or access is refused, mark the claim unverified. Assign an owner, the evidence needed to resolve it and the next review date. Do not silently replace earlier promises with revised dates. For requests to omit checks, see our guide to skipping agreed production checks.

If a milestone slips, follow the factory delay guide for recovery decisions. Keep production completion, inspection, packing and collection as separate events. Before acting on a payment milestone or booking transport, check the evidence required by your agreed order terms rather than relying on a general progress message.

Frequently asked questions

What should I ask for in a factory progress report?

Ask for the order reference, reporting date, variant, current quantities by stage, batch evidence, blockers, revised milestone dates and changes since the previous update.

Can factory photographs prove my order is finished?

Photographs can show identified goods, but cannot independently prove the total completed quantity. Reconcile stage quantities with records and use an independent site check where the claim matters.

How can I check production on a video call?

Choose which labelled batch or carton to view, ask for an overview followed by close-ups, and compare what is shown with the progress record. Record anything the camera cannot show.

Does a production spot check replace final inspection?

No. A progress spot check tests selected claims at the time of the visit. Keep the agreed batch acceptance inspection as a separate milestone before shipment.
