Canton Fair Online vs In Person: Which Should Buyers Use?

Use Canton Fair online for initial supplier research and remote follow-up. Consider attending when handling samples and discussing requirements face to face would help you decide. Start online, then assess whether travel or targeted representation justifies the cost. Neither route replaces supplier verification or appropriate product testing.

Online or in person: choose around the decision you need to make

Use the online platform to identify potential suppliers, then ask whether their product range, minimum order quantities and capabilities fit your brief. Consider attending when seeing products and meeting shortlisted suppliers could resolve questions that photographs, messages and delivered samples cannot settle efficiently.

Consider combining the routes: research online, arrange focused meetings, then continue negotiations remotely. These are practical buying recommendations; the official platform features supporting them are described below.

If you are still deciding whether a trip is commercially worthwhile, read is the Canton Fair worth going to?.

What does the official Canton Fair online platform currently offer?

The official buyer guide provides product-search and sourcing-request entry points and features Canton Fair 365. The 365 site displays products, short videos and a matching workflow: buyers post requests, the fair matches suppliers, suppliers quote, and the parties contact each other. Start through the official buyer guide.

The official app description lists industry and keyword searches, electronic catalogues, instant messaging, electronic business-card exchange and visit planning. Consider these tools for preparation and follow-up.

Treat listings and matching results as leads to investigate. Ask the supplier to confirm the exact model, manufacturing arrangements, minimum quantity, sample availability and quotation scope. Do not infer production capability or suitability for your destination market from a listing.

Canton Fair online vs in person: practical comparison

The table compares buying tasks, rather than promising that either route guarantees a reliable supplier. Physical meetings provide additional observations; written specifications, checks and appropriate testing still matter.

Which route helps with each buying task?
Buying taskOfficial online platform and remote follow-upAttending in person
Find relevant suppliersSearch products, review online material and post a sourcing request before committing to travel.Explore relevant booths and compare product ranges during your visit.
Assess samplesRequest identified physical samples for delivery; photographs and videos cannot establish feel, finish or performance.Handle available display samples and discuss differences directly; a display sample does not prove future production quality.
Discuss specificationsSend the same written brief to shortlisted suppliers and compare their answers.Work through drawings, packaging and customisation face to face, then record the agreed details in writing.
Check the businessRequest company details, establish who will contract and manufacture, and arrange checks where needed.Question representatives directly and inspect available documents; meeting at a booth does not establish factory ownership.
Visit a factoryArrange a separate visit or commission a defined check after shortlisting.Add a pre-arranged factory visit near Guangzhou where the actual production location makes this practical; proximity must be confirmed.
Cost and timeAvoid the buying trip, but budget for samples, delivery, checks, testing and time spent chasing replies.Budget for travel, accommodation, local transport, any interpretation and time away, alongside the same product checks.
Continue after the fairKeep specifications, quotations and unresolved questions together for remote follow-up.Turn meeting notes and sample references into a written shortlist and action list before placing an order.

Which option suits individuals, small businesses and larger buyers?

Individuals: consider starting online if you are exploring a personal purchase or a small quantity. Ask whether the supplier accepts your quantity and can support delivery to your destination before paying for samples or travel. Do not assume retail availability.

Small businesses: use online research to assess potential supplier fit and obtain comparable quotations. Consider attendance when materials, finish, customisation or a group of supplier meetings could materially affect your choice. For a limited order, compare the full trip cost with small-order sourcing support.

Larger buyers: consider using online research to prepare a structured shortlist and attendance to bring purchasing, technical and commercial discussions together. Arrange factory visits separately where production capability needs closer investigation.

Choose by the unresolved buying risk, not business size alone. Consider whether a small custom order needs physical assessment, or whether a larger repeat purchase can be managed remotely with established specifications and controls.

How to combine online research with a useful visit

Prepare a brief covering intended use, destination market, materials, dimensions, quantity, packaging and required delivery timing. Ask suppliers to identify assumptions and exclusions in their quotations.

Before booking, check the relevant exhibition phase and exhibitor information on the official Canton Fair website. Confirm attendance and meetings directly with shortlisted suppliers, and obtain actual factory addresses. Do not assume an exhibitor manufactures nearby or can accommodate an unannounced visit.

During meetings, record the supplier identity and the exact sample or model discussed. Afterwards, confirm the specification, sample approval process, testing needs, payment terms and inspection arrangements in writing.

Use the Canton Fair buyer’s pack for preparation and the Canton Fair service page for attendance support.

Import costs depend on the destination, whichever route you choose

Compare landed cost alongside the supplier quotation: goods, transport, insurance, clearance, applicable taxes and any testing or inspection. Do not assume that finding a supplier online or meeting at the fair changes the applicable import rules.

UK example: HMRC requires relevant delivery and transit-insurance costs up to the place of introduction to be included in customs value, under the applicable valuation rules. The place of introduction depends on the transport method; for postal goods, it is the delivery address. Import VAT valuation starts with customs value and adds applicable import duties and charges, excluding VAT itself, plus relevant incidental expenses to the first UK destination and a further UK destination known at importation. Avoid counting costs twice.

European Commission guidance likewise bases import VAT valuation on customs value with specified additions. US CBP states that the importer remains responsible for compliance even when using a customs broker. Check the destination authority’s current product and import requirements before ordering.

Can Cambridge China Bridge attend or follow up for you?

Cambridge China Bridge offers attendance and supplier follow-up services. Provide your product brief, destination market, supplier shortlist and the decisions you need help making. Agree availability, access arrangements, deliverables and authority before work begins.

Ask for a brief covering the supplier meetings, quantity and customisation questions, sample coordination, quotation comparisons and document follow-up you need. Schedule factory visits separately and confirm the production location.

Ask for a written quote stating what will be checked and what evidence you will receive. Agreed factory audits and goods inspections are usually included in the quote for a goods order placed with Cambridge China Bridge. Standalone factory audits are quoted separately; complex checks requiring a third party cost extra, by prior agreement.

Use Canton Fair attendance support to discuss representation, or small-order sourcing when a buying trip may be disproportionate to the order.

Frequently asked questions

Can I find suppliers without travelling to the Canton Fair?

Yes. The official buyer guide provides product-search and sourcing-request entry points. Use these to build a shortlist, then confirm supplier capability, quantity requirements and samples directly.

Can I judge product quality from the online platform?

Use online material for initial screening. Request identified physical samples and define written acceptance criteria. Arrange suitable testing when appearance or handling cannot establish the required property.

Is visiting the Canton Fair worth it for a small order?

Assess what the visit would resolve. Compare the trip cost and time away with delivered samples, remote discussions or targeted representation. Confirm that suppliers accept your quantity before booking.

Does meeting a supplier at the fair prove it owns a factory?

No. Establish the contracting company, manufacturing location and relationship between them. Use the meeting to ask questions, then verify the answers.

Can I visit factories while I am in Guangzhou?

Potentially, if the relevant factories are within practical travelling distance and agree to a visit. Obtain the actual production address, confirm access and allow sufficient travel time before fixing your itinerary.

Should I place an order during the fair?

Only when you have enough information to agree the specification and commercial terms. Do not treat the meeting as a deadline: resolve outstanding samples, compliance evidence and supplier details before committing.

Can Cambridge China Bridge attend instead of me?

Cambridge China Bridge offers targeted attendance and follow-up. Agree the scope, availability and access arrangements, and confirm the supplier list, questions, evidence and decision limits in advance.

Will buying online reduce my import duty or tax?

Do not assume so. Check the destination’s rules for the particular goods and transaction. The supplier-discovery method alone does not establish the customs value, duty or tax treatment.
