Start with the biosecurity permit check

Biosecurity Vanuatu’s application form states that all reconditioned, recycled and second-hand goods are subject to an import permit. A used machine offered by a Chinese supplier therefore needs a permit check before you commit to buying it. Send your own Vanuatu customs broker the product description, condition, materials and intended use.

Ask the broker to establish the permit position for your exact goods and packaging, including any plant or animal materials. Biosecurity Vanuatu says importers must understand their permit conditions. Obtain written instructions for the factory and inspection team before packing. The overseas buying guide explains the wider sourcing arrangement.

Define the price to your own port

Cambridge China Bridge can source from Chinese factories and quote shipment to your named Vanuatu port. Agree the delivery term, freight, insurance arrangements and included destination charges in writing. Our buy-through-UK-company service explains the purchasing route.

Vanuatu Customs states that its tax base is CIF. Give your broker separate goods, freight and insurance figures, together with the agreed delivery term. Ask for an arrival budget covering brokerage, applicable duties and taxes, port handling, any biosecurity work and onward delivery. Your own customs broker confirms the final entry and amounts.

Give your broker an arrival brief

Arrange for your own broker to prepare and lodge the arrival declaration, confirm classification and valuation, coordinate applicable payments and follow up clearance. Send the draft shipping documents before dispatch so discrepancies can be resolved while the goods remain at the factory.

Ask who will coordinate any examination, collect release documents and arrange collection from the terminal. If you also buy for neighbouring markets, consult the New Zealand guide and Australia guide for those destinations. Use a separate clearance brief for your Vanuatu shipment.

Agree the factory and shipping documents

The Chinese factory supplies packing details and available test reports for the exact product and configuration. We check these against the order and assemble the commercial invoice and packing list. Agree the invoicing seller at the outset, then reconcile descriptions, quantities, carton marks, weights and values before sending the pack to your broker.

Ask your broker whether a certificate of origin is needed; we arrange it with the exporter where requested. Have the broker identify any additional product registration, certification, labelling or biosecurity documents for the proposed goods. Agree who obtains each item, and include the carrier’s transport document and freight details in the handover.

Check the supplier and inspect before shipment

Our own staff in China check the supplier’s identity, actual production site and ability to make your specification. Agree an approved sample and written acceptance criteria. For used equipment, ask for condition photographs, operating demonstrations and a clear record of included parts before agreeing the order.

Before shipment, inspect the batch against the specification and approved sample. Include packaging, carton markings and the broker’s written instructions in the inspection brief. Request photographs and a defect record, reconcile inspected cartons with the packing list, and resolve outstanding issues before authorising dispatch.
