Confirm the import permit route before ordering

Guinea's public-service portal states that an entrepreneur or importer wishing to introduce products into the country must hold a valid import permit. Start by sending your broker the product description, intended use, composition and supplier details. Ask which authorisation applies to your goods and obtain the broker's document checklist before approving production.

The trade single window's guide also states that opening a descriptive import or export declaration requires an account on its platform. Ask your broker who will manage that account and the declaration. For the wider purchasing process, read buying from China outside the UK.

Agree a quote to your own port

Tell us the goods are going to Guinea and name your destination port. We can quote through our UK company, with our own staff in China coordinating the factory work. Agree the delivery term, freight and insurance arrangements, and the point where your own broker takes over.

Ask the quotation to identify destination handling, customs clearance, duties, taxes and onward delivery separately, showing what is included and what remains payable locally. The buy-through-UK-company service explains the purchasing arrangement.

Prepare the factory documents for your broker

We coordinate the Chinese factory's pro forma invoice for your review, then the commercial invoice and packing list for shipment. Check buyer and seller identities, descriptions, quantities, currency, values and delivery terms together. If our UK company is the seller, agree the invoice chain with your broker before documents are issued.

Ask your broker whether a certificate of origin and product test reports are needed for this order. We arrange the requested origin documentation and collect or commission agreed test reports in China. Match reports to the actual model and materials. Send drafts to your broker before shipment and agree how transport documents will reach them.

Check the supplier and inspect before shipment

Our staff in China check the supplier's business identity, production location and ability to make the specified goods. We establish whether the seller manufactures the goods or buys them elsewhere, review samples and agree written acceptance criteria. Ask your broker to confirm any product certification or labelling instructions before artwork is printed.

Before shipment, inspect production against the approved specification and sample, including function, materials, finish, quantities, packaging and carton marks. Record defects with photographs, agree corrective work and check the result before authorising shipment. Compare the inspected goods with the packing list and supporting reports.

Give your own broker responsibility for arrival

Appoint your own customs broker in Guinea to confirm the final entry. Agree that their scope covers classification, valuation, checking authorisations and supporting documents, submitting the declaration, arranging payment of applicable duties and taxes, responding to customs queries and coordinating release. Ask for their arrival-cost estimate before booking freight.

Use the Ghana guide and Nigeria guide when comparing shipments to those destinations. For a Guinea order, give your broker the Guinea-bound product and document details directly rather than using another destination's checklist.
