Start with the import-permit check
Namibia’s Ministry of Industrialisation and Trade lists issuing import and export permits among its trade facilitation services. Make the permit question your first buying check: send your own Namibian customs broker the product description, materials, intended use, photographs and whether the goods are new or used.
Ask for written confirmation of the applicable permit route, applicant and supporting documents before committing to production. The ministry’s detailed permit guidance could not be read during this research, so this guide does not establish which goods need a permit or a statutory application deadline. Have your broker confirm those points for your order.
Agree a price to your own port

Agree the documents before production
We coordinate the commercial invoice and packing list with the factory and the agreed selling arrangement. Ask your broker to review draft documents showing the seller, buyer, product descriptions, quantities, values and delivery terms. Have the factory confirm carton contents, weights and dimensions, and compare these with the shipping booking.
Agree whether to arrange a certificate of origin and which product test reports to obtain. We collect available factory reports and check that their model, manufacturer and configuration match the order. Send them to your broker or relevant specialist for review before shipment. Agree who supplies the transport document and any additional paperwork they request.
Check the supplier and inspect in China
Our own staff in China check the supplier’s identity, production location, equipment and ability to make the specified product. We compare the proposed factory with its samples and supporting records, identify subcontracted work and record the specification and approved sample before production.
Before shipment, we inspect against agreed acceptance criteria: appearance, dimensions, operation, quantities, accessories, labels and packaging. We report findings and coordinate corrections and any agreed reinspection. Give your broker an arrival handover
Appoint your own Namibian customs broker early and agree responsibility for classification, valuation, declarations, permit checks and payment arrangements. Before arrival, send the final invoice, packing list, transport document and agreed supporting certificates. Ask the broker to confirm the final entry, answer customs queries and coordinate release and collection.
