When to order wedding decorations from China

Order early enough for venue approval, sample changes, production, inspection and delivery, with time left to replace damaged or incorrect decorations. Set the essential delivery date before ordering

Start with the wedding date and the venue’s set-up arrangements. Choose an essential delivery date that leaves time to unpack, assemble and prepare the decorations. Tell the seller before ordering why that date matters, and ask them to accept it in writing alongside the delivery address and agreed contents. See agreeing an essential wedding delivery date.

For an online order from a UK seller, the seller must confirm the contract as soon as possible. Ask for the accepted delivery date to appear in that confirmation. Separately, set an earlier planned arrival date so a mistake discovered on arrival can still be corrected.

Build the order calendar backwards

Ask the seller and delivery provider for dates for each stage below, then work backwards to the order date. Ask what starts each stage and what could delay it. If the resulting order date has already passed, change the decorations or delivery plan before paying.

Clear the venue and sample before production

Send the venue photographs, dimensions, materials and the proposed installation method before committing to production. Ask about hanging items, candles, lights, fixing points and access for set-up. Try a physical sample where appearance or assembly matters. Check colours together, read printed names and wording, and assemble stands using the supplied fittings. Allow time for a changed sample to arrive and be checked. Keep photographs and a written record of the approved version so the factory has a clear reference. Leave room to correct the batch before dispatch

Ask the factory to confirm when materials will be ready and when production can start after sample approval. Agree progress updates tied to those dates. Freeze names, colours, sizes and quantities before production; if you change them later, ask for a revised calendar before accepting the change. Book the inspection with time left for corrective work and another check. Give the inspector the approved sample details, wording, quantities, assembly instructions and packing requirements. Ask for photographs showing the checks performed. A dispatch deadline should not force you to accept unresolved mistakes.

Plan for arrival, not just factory dispatch

Ask what the seller means by “ready”, “shipped” and “delivered”. Factory dispatch means the goods have left the factory; it does not mean they have reached your home or venue. Confirm whether the delivery estimate includes collection, clearance and the final journey to your address, and who will handle queries along the way.

If decorations come from different factories, consolidation can bring them together for shipment. Ask which item controls the departure date and agree when to stop waiting for a delayed item. Consider sending essential pieces separately rather than letting an optional decoration hold up the whole order.

Make the correction buffer a usable plan

Choose a correction buffer by asking how long it would take to remake personalised pieces, replace broken items, send them and check them on arrival. Unpack the original delivery promptly, photograph problems and try the assembly. Keep the packaging while you discuss damage with the seller.

Set a decision date for switching to a local replacement or a simpler decoration. Keep a fallback that the venue will accept. Ask about small orders if standard items would avoid custom production.
