How to verify a food batch certificate of analysis

Match the certificate to the batch, separate measured results from acceptance limits, and confirm the methods and laboratory scope. Verify the report directly with its issuer and arrange independent sampling where the evidence is doubtful. Ask Cambridge China Bridge to coordinate factory records and sample collection.

Separate results from specification limits

Read each test across its parameter, specification, result, unit and method. A specification says what is acceptable; a measured result says what the laboratory found in the submitted sample. A limit repeated in the result column, or a bare “pass”, does not show the underlying measurement. Ask for the original laboratory report and clarification of any missing result.

For qualitative tests, request the reported finding and the amount of sample examined. “Not detected” should be read with the method’s detection capability, rather than treated as proof of complete absence. Ask the laboratory to explain less-than signs, reporting limits, rounding and any uncertainty relevant to a result close to your acceptance limit.

Connect the tested sample to your batch

Match the product name, ingredient or grade, factory, batch code and production details against packaging and the order records. Check the sample identifier, collection date, receipt date, testing dates and report issue date. Resolve inconsistent dates or descriptions before accepting the document. A genuine report for a development sample cannot establish what was shipped.

Ask who selected the sample, where it came from, whether it was pooled and how it was sealed, stored and transported. Request collection records and photographs linking it to the batch. Agree a sampling plan with the laboratory rather than letting the supplier select a convenient specimen. Use our sample chain of custody guide for the handling record.

Check that the method answers your question

Ask for the method identifier and revision, sample preparation, reporting units and the basis of the result, such as dry material or material as supplied. Check that the method suits the food matrix and the substance or organism being examined. Results obtained on different bases should not be compared without the laboratory explaining the conversion.

Give the laboratory your intended use and agreed specification. Ask whether the chosen test can distinguish the substances you care about and whether screening needs confirmation. For microbiology, distinguish detection from counting. Do not treat a general hygiene screen as evidence for every pathogen, or a composition test as evidence for contaminants it did not examine. For the testing brief, see our guide to agreeing food batch contaminant testing.

Verify the issuer and laboratory scope

Contact the issuing laboratory through independently obtained details. Ask it to confirm the report reference, complete document, sample description and any amendments. Establish whether the factory compiled the certificate from laboratory results or performed the testing itself. Check whether work was subcontracted and identify the laboratory that actually performed each test.

Request the current accreditation schedule and ask the laboratory to identify the entries covering your food matrix, parameter, method and testing site. Ask which reported tests fall outside that scope; for flexible scope, request confirmation covering the actual method used. Follow our laboratory accreditation guide and test report verification guide for the wider document checks.

Arrange independent confirmation and record release

Where identity is uncertain, results are close to limits or reports conflict, hold the affected batch while a competent laboratory advises on fresh sampling and confirmation. Use a collector independent of the supplier where practical, preserve sample identity and arrange for the report to reach you directly. GOV.UK describes the London Food, Water and Environmental Microbiology Laboratory as providing diagnostic microbiological testing of food, water and environmental samples.

Agree the confirmation question before testing: report authenticity, batch identity, a disputed result or a missing hazard test. If results disagree, ask the laboratories to compare methods, sample condition, units and uncertainty before drawing a conclusion. Keep the original certificate, supporting reports, sampling record and written release decision together. Cambridge China Bridge’s staff in China can help coordinate factory records and sample collection.

Frequently asked questions

Is a food certificate of analysis enough to accept a batch?

Use it as evidence alongside batch identity, sampling records and suitable testing. Accept only after resolving missing results, scope gaps and discrepancies against your agreed specification.

What if the certificate only says pass?

Ask for the underlying laboratory report. For measured tests, request results and units; for qualitative tests, request the finding, sample amount and reporting capability.

Does a laboratory logo cover every test?

Request the current scope and ask the laboratory to identify coverage for each relevant method, food matrix and testing site. Ask it to mark any work outside that scope.

Should I independently retest every food batch?

Agree a testing plan with a competent food laboratory based on the product, supplier evidence and intended use. Prioritise unexplained changes, doubtful sample identity, disputed findings and missing hazard tests.
