How to test a warehouse for retail deliveries
Run an authorised trial through the retailer's actual receiving workflow. Follow the purchase order through booking, picking, dispatch notice, label scanning and receipt reconciliation. Appoint the provider only after reviewing the evidence and retesting failures. Include factory packing instructions in your brief to Cambridge China Bridge.

Define the trial and its acceptance gates
Use a retailer-authorised trial purchase order and an agreed receiving location. Obtain the retailer's current supplier instructions directly, including booking, message submission, pallet presentation and discrepancy reporting. Turn those instructions into written acceptance gates. Ask the provider to identify who owns each task, including any carrier or messaging subcontractor.
Choose stock that represents your intended operation: relevant pack sizes, mixed products or batch-controlled goods where applicable. Use the staff, systems and carrier proposed for routine work. Our guide to choosing a UK warehouse supports the wider selection decision; this trial tests whether the proposed operation can complete a retail delivery.
Test purchase-order intake and booking
Watch the provider import the purchase order and reconcile product codes, units of measure, case quantities, delivery destination and requested delivery window. Ask it to show how it detects an unknown product or a case-versus-unit mismatch. Test deliberate errors in a rehearsal environment, keeping them out of the live shipment. For downtime rehearsals, see our warehouse ordering system outage plan.
Require evidence that the receiving site confirmed the booking, rather than just a screenshot of a submitted request. Match the confirmed slot and booking reference to the order and carrier instructions. Rehearse a changed slot or short pick and check who obtains approval, updates the records and tells the carrier before release.
Match the picked stock, notice and labels
Ask the provider to generate the dispatch notice from the stock actually picked and packed. Compare the order reference, product codes, quantities, destination and logistics-unit identifiers across the pick record, notice and printed labels. Where the retailer uses an advance shipping notice, request its receiving-system acknowledgement and check whether that means message receipt or successful validation.
Scan the physical labels after wrapping and reconcile the result to the notice and pallet contents. Check the retailer's requested label format and placement against its instructions. Rehearse a rejected message or replacement label and confirm obsolete records cannot authorise release. Use barcode validation and retailer pallet preparation for the upstream packing checks.
Control release and collect delivery evidence
Make dispatch conditional on the agreed booking, notice and label checks. Give the carrier the correct destination, booking reference and site instructions. HSE guidance says companies involved should agree in advance how loading and unloading will happen. Include that agreement in the trial handover. For release permissions, see our guide to UK warehouse dispatch authority.
Collect loading photographs, the dispatch record and the carrier's delivery evidence. Then obtain the retailer's goods-received record or discrepancy report where available. Compare accepted quantities with dispatched quantities and identify damaged, short or refused stock. A signature alone may not establish which order lines the retailer accepted.

Appoint against evidence and tested corrections
Keep a linked evidence pack containing the purchase order, booking confirmation, pick record, submitted notice and response, scanned labels, carrier handover and receiving outcome. Record manual intervention, missing evidence and disagreements. Treat an unresolved receiving result as an open issue, even if the carrier marks the shipment delivered.
Ask for a corrective action with an owner and repeat the failed stage through to receipt. Agree responsibility for rebooking, relabelling, rejected deliveries and retailer deductions before appointment. Limit approval to the operation actually tested; a successful trial does not establish peak capacity or readiness for another retailer. Give Cambridge China Bridge the approved carton and packing instructions for the factory.
Frequently asked questions
Can a warehouse demonstration replace a trial delivery?
A demonstration can test data mapping and label printing. Arrange an authorised delivery to test booking acceptance, carrier handover and the retailer's receiving outcome.
What if the retailer will not accept a trial order?
Run an agreed rehearsal and mark live receiving as untested. Seek a supervised initial delivery before making a wider stock commitment.
Does proof of delivery mean the retailer accepted the stock?
Check what the document confirms. Reconcile it with the retailer's receiving record and any shortages, damage or refusals before closing the trial.
Who should send the dispatch notice?
Agree the sender with the retailer and provider. Test the actual submission route, access permissions, rejection handling and acknowledgement retrieval before dispatch.
