Choosing a UK warehouse for China imports
Choose a warehouse by testing how it will receive your shipment, record stock, fulfil orders and handle returns. Compare written quotes using the same goods and order profile, then agree responsibility for discrepancies, damage and exit arrangements. Factory packing can be coordinated by Cambridge China Bridge.

Choose the service your goods need
A storage warehouse suits stock held for later pallet or carton deliveries. A fulfilment provider adds picking, packing and dispatch to individual customers. Send prospective providers your product dimensions, weights, carton contents, expected stock pattern, sales channels and delivery destinations. Ask which activities they perform themselves and which they subcontract.
If a provider offers customs warehousing, ask to see its authorisation and confirm that the proposed service covers your goods. HMRC authorisation is required to operate a customs warehouse as a warehousekeeper. For the separate question of importing without business premises, read importing without a warehouse.
Agree receiving before the factory packs
Ask whether the warehouse accepts loose-loaded containers, pallets and mixed cartons. Confirm booking arrangements, unloading equipment, pallet specifications, carton labels and who pays for waiting, missed bookings or repacking. Send its packing instructions to the factory before production packing starts. Use the container loading checklist to coordinate the China end.
Define what receiving actually checks: pallet count, carton count or item count. Agree photographs of damage, how shortages are recorded, who receives the discrepancy report and when goods become available for orders. A signed delivery receipt and a stock receipt should be reconciled with the packing list; neither should be treated as a product quality inspection.
Test storage records and picking
Ask for a demonstration using your product variants. Can staff distinguish similar packaging, retain batch references and separate available, reserved, damaged and returned stock? Agree storage conditions, stock-count arrangements and how discrepancies are investigated. For goods needing controlled conditions or special handling, ask for evidence that the site can provide them.
Run a trial order through stock allocation, picking, packing, dispatch and tracking. Agree order cut-offs, packaging choices, delivery exceptions and the process for correcting wrong picks. Check how cancelled orders stop reaching the packing bench and how stock updates reach your sales channels. Ask what happens during a system outage or a demand peak.
Keep returns separate from saleable stock
Write a returns decision sheet with photographs of acceptable and unacceptable condition. Ask who opens parcels, records the return reason, checks contents and approves restocking. Keep doubtful goods on hold until you decide whether to inspect, rework or dispose of them. Agree who authorises each action and how its cost is recorded.
Require return records that connect the customer order, product variant, batch where available, condition and photographs. This helps distinguish picking errors, transit damage and possible factory defects. For a supplier dispute, use goods arrived faulty; warehouse returns handling alone does not establish the cause of a defect.
Compare the whole bill and the exit terms
Give each provider the same shipment and order profile and request a worked bill. Include receiving, unloading, storage, picking, packaging, carrier charges, returns, stock counts, relabelling, account minimums and software charges. Ask how storage is measured, when billing starts and stops, and how rates change. Compare routine orders alongside awkward cases such as mixed cartons and damaged arrivals.
Read the proposed contract alongside the quote. Ask about liability limits, exclusions, insurance cover, claim evidence and notification deadlines. Check any terms allowing goods to be held for unpaid invoices, subcontracting, termination notice and charges for removing stock. Agree an exit process covering a final stock reconciliation, data export and collection booking before signing.
