Sole trader stock taken for personal use
Record a private stock withdrawal and reduce available stock. For Income Tax, traditional accounting uses market value; cash basis needs a reasonable adjustment, such as disallowing cost. Check VAT separately, including input tax recovery and the value at withdrawal. Supplier records can be gathered by Cambridge China Bridge.

Record the withdrawal when stock leaves
Create a private-withdrawal entry showing the date, product code, batch, quantity, recipient and purpose. Reduce available stock and retain the supplier invoice reference. Keep this movement separate from customer sales, damage and missing stock, so your stock reconciliation explains where the goods went.
Keep separate fields for original attributable cost, current market selling value and the VAT valuation. Attach supporting invoices and price evidence. For goods still held for resale, follow our unsold-stock valuation guide; privately withdrawn goods should be identified separately in your reconciliation.
Traditional accounting: use market value
Under traditional accounting, goods taken from trading stock for yourself or your household are treated for Income Tax as a disposal at market value. Simply recording a withdrawal at purchase cost does not capture that tax treatment.
Give your accountant the withdrawal log and evidence of comparable selling prices and condition. Ask them to show how the market-value adjustment reaches taxable profit alongside the stock movement. Check whether your bookkeeping software already includes that adjustment before adding it again.
Cash basis: adjust the expense
Under the Income Tax cash basis, HMRC does not require the value of privately taken goods to be entered as a receipt. Instead, make a just and reasonable adjustment; HMRC gives disallowing the cost as an example. The cash basis also does not require a closing-stock adjustment when calculating profit.
Identify the cost attributable to the withdrawn goods and whether it has already been deducted. Ask your accountant to settle the adjustment where payment or an earlier deduction falls in a different period. Continue tracking physical stock for purchasing and reconciliation. Our cash-basis stock-payment guide covers purchase timing.
Check VAT independently
The Income Tax cash basis does not change VAT accounting. For a VAT-registered trader, permanently diverting business stock to private use can require output VAT where VAT on the goods or their components was wholly or partly deductible. Forgetting to reclaim deductible input VAT does not remove the output VAT liability.
Check the original import VAT treatment using our import VAT guide. HMRC says VAT on an asset bought for non-business activities cannot be reclaimed. Give your accountant the import VAT evidence and explain whether the goods were originally resale stock or intended for family use from the outset.

Value the VAT entry and reconcile the records
For a permanent private withdrawal with no payment, VAT valuation uses what it would cost to purchase the same goods at the time of withdrawal, allowing for age and condition. If unavailable, use comparable goods, then current production cost. Apply the goods' appropriate VAT rate. This valuation differs from the market selling value used for traditional-accounting Income Tax.
Prepare a VAT calculation showing the withdrawal date, description, quantity, VAT-exclusive valuation, rate and tax amount. If goods are only lent temporarily, flag that separately: HMRC treats temporary private use as a supply of services. Reconcile your withdrawal log with stock records and tax adjustments. Cambridge China Bridge's staff in China can help gather factory invoices and batch records.
Frequently asked questions
Can I take imported stock home for my family?
Record the goods as a private withdrawal and reduce available stock. Traditional-accounting Income Tax uses market value; cash basis requires a reasonable adjustment. Check VAT separately.
Do I use cost or selling price for personal stock?
Traditional-accounting Income Tax uses market value. Cash basis may disallow cost. VAT on a permanent withdrawal without payment uses current purchase cost for goods of the same age and condition.
Does cash basis mean no tax adjustment for stock I use?
No. HMRC requires a just and reasonable adjustment, such as disallowing the cost of privately taken goods. A physical stock log remains useful even without a closing-stock tax adjustment.
Is VAT due if I forgot to reclaim import VAT?
For a VAT-registered trader, forgetting to reclaim deductible input VAT does not remove output VAT due on a private withdrawal. Check entitlement to deduct, rather than only whether a claim was made.
