How to send corrected instructions to customers
Match affected serial numbers to owners, issue clearly identified replacement pages and send them directly and through dealers. Record receipt and confirmation that obsolete instructions have been replaced. Escalate safety risks rather than assuming a manual update resolves them. Factory records can be gathered by Cambridge China Bridge.

Decide whether instructions address the risk
Separate a wording correction from a safety correction. Ask a competent product-safety specialist whether revised instructions adequately control the hazard or whether repair, withdrawal or recall is needed. Official consumer-product guidance identifies new instructions as a possible corrective action. Do not treat that as confirmation that instructions alone suit your product.
If supplied goods are unsafe and pose a risk, or breach applicable legislation, notify the relevant authority. This is separate from distributing replacement pages. Use our imported-product recall guide for notification and recovery work; the procedure below focuses on getting corrected instructions into existing owners' hands.
Define the affected serial numbers
Create an affected-product register linking model, serial number, configuration, original manual revision, shipment and customer or dealer. Ask the factory for production records and the reason for each inclusion or exclusion. Include a photograph showing where owners can find the serial label. Where boundaries remain uncertain, flag those units for investigation rather than treating them as unaffected.
Match factory records against invoices, warranty registrations, installation records and dealer sales records. Record the current owner and operating location where known, including equipment resold or hired out. Keep missing serial numbers and unknown owners visible in the register, with a named person responsible for tracing them.
Prepare an unmistakable replacement pack
Give the correction a revision identifier and issue date. State affected models and serial ranges, the hazard, the changed instruction and any immediate action, including stopping use where appropriate. Identify the manual edition, headings and pages being replaced. Supply printable replacement pages and a complete corrected manual so owners can choose a usable format.
Check cross-references, diagrams, warnings and contents entries after the edit. Explain how to remove or mark obsolete pages and replace workshop copies. Have a technical reviewer check the English against the actual product and intended task, then test comprehension with an unfamiliar reader. Use our product-specification guide to put the approved manual revision into future orders.
Send directly and through dealers
Contact known owners through their recorded channels, with the correction visible in the message rather than hidden behind a download link. Offer printed copies where needed. Publish the same approved pack on your support page and replace superseded downloads. A website update alone gives you no evidence that existing owners received the correction.
Give dealers the approved notice, replacement pack and affected-product list relevant to their sales. Ask them to contact onward buyers, trace resales where possible and report delivery failures and unresolved units. Request evidence of onward distribution, not merely confirmation that the dealer received your email. Tell business owners to pass the update to operators, maintenance staff and other sites using affected equipment.

Track acknowledgement and escalate gaps
Keep sent, delivered, acknowledged and implemented as separate statuses. Ask the owner to confirm the serial number, manual revision received, replacement of obsolete copies and communication to relevant users. An email opening or dealer reply does not demonstrate that instructions at the machine have changed. Record contact attempts, replies, returned post and outstanding actions.
Set follow-up timing according to the assessed risk. Escalate failed contacts, refusal, uncertainty about safe use and further incidents to your safety lead and relevant authority as appropriate. Ask the specialist and authority whether broader publicity or a different remedy is needed. Keep unresolved units open; agree and document closure criteria rather than closing the campaign when messages have been sent.
Frequently asked questions
Can I just upload the corrected manual?
Use the website as a supporting channel. Contact known affected owners and ask dealers to reach onward buyers. Track receipt and replacement of obsolete instructions.
Should I send replacement pages or a whole manual?
Provide clearly identified replacement pages and a complete corrected manual. Explain which edition and pages are superseded, and check diagrams and cross-references.
What if I cannot identify all affected serial numbers?
Reconcile factory, shipment and sales records. Keep uncertain units visible and discuss the scope with your safety specialist and relevant authority rather than assuming they are unaffected.
Does customer acknowledgement close a safety correction?
Acknowledgement shows a reply, not that the risk is controlled. Record implementation, follow up unresolved units and document closure criteria with your safety specialist.
