Can I reclaim VAT on courier clearance fees?

Yes, if you are VAT-registered and eligible, you can reclaim VAT correctly charged on a courier’s service fee separately from import VAT. Give your accountant the service VAT invoice and separate import VAT evidence. You reclaim the eligible VAT, not the fee itself. Ask for help gathering shipment records from Cambridge China Bridge.

Separate the service fee from the tax advanced

Ask for an itemised bill showing clearance work, the advancement fee, VAT charged on those services, import VAT advanced and customs duty. The advancement fee is the courier’s charge for advancing money; keep it separate from the tax it paid on your behalf. Customs duty disbursed by an agent is outside the scope of VAT.

For an eligible VAT-registered business, VAT on the courier’s service can be reclaimed separately from import VAT. The fee itself is not the VAT claim. Ask your accountant to check your business use and accounting arrangements before assuming that every VAT amount is recoverable.

Get the courier’s service invoice

VAT invoices provide evidence for reclaiming input tax. Request the courier’s VAT invoice for its services, rather than sending only the payment demand. Ask for your business name and address, the courier’s name and VAT registration number, invoice reference and dates, service description, fee before VAT, VAT rate and VAT amount. Have your accountant check the invoice’s validity.

If a fee is invoiced without VAT, do not calculate a VAT claim yourself. Ask the courier to explain its treatment, including any description of the service as zero-rated or exempt. If you think it charged VAT incorrectly, HMRC says to seek a refund from the supplier. Request a corrected invoice and send the correspondence to your accountant.

Prepare evidence for each charge

Use the following as a handover checklist. Keep the courier’s service VAT invoice separate from the evidence for import VAT on the goods. An import VAT certificate shows VAT paid on imports; a postponed import VAT statement helps you complete the return where postponed accounting was used.

Attach the supplier’s commercial invoice, packing list, transport document and customs declaration. Ask the courier for the declaration reference, importer details, tax calculation and evidence of any tax advanced. Match these records to the shipment before sending the pack.

Check ownership and missing evidence

Paying the courier does not by itself establish entitlement to reclaim import VAT. Eligible business use and acceptable evidence matter; ask HMRC or your customs agent to confirm any ownership conditions and whether being named on the customs entry is sufficient. Use our importer of record guide if the seller, recipient and importer are different businesses.

Flag any mismatch between your business details, declaration and import VAT evidence. Ask the declarant to investigate and send your accountant the response. Use missing import VAT evidence for document gaps; do not treat the courier’s service invoice as a replacement for missing customs evidence.

Send a reconciled pack, including corrections

Create a shipment cover sheet identifying each charge, its supporting document, payment and unresolved query. Highlight import VAT appearing both on a courier bill and an HMRC statement so your accountant can check for duplication. Include credit notes and refunds alongside the original documents. Our accountant evidence handover guide covers who downloads and shares the records.

If the fee itself is disputed, follow our courier clearance fee dispute guide alongside the accounting review. Cambridge China Bridge’s staff in China can help obtain supplier invoices, packing lists and dispatch records. Ask the courier for its service invoice and customs records, and agree the VAT claim with your accountant.

Frequently asked questions

Can I reclaim the whole courier clearance fee?

The VAT claim concerns eligible VAT correctly charged on the service, not the fee itself. Give your accountant the courier’s service VAT invoice and ask them to confirm the recoverable amount.

Is an advancement fee the same as import VAT?

No. Separate the courier’s charge for advancing money from the import VAT it paid on your behalf. Ask for an itemised bill and separate evidence for each.

Is a courier invoice enough to reclaim import VAT?

Prepare the import VAT certificate or the postponed import VAT statement, with the customs declaration and supplier invoice. Ask HMRC or your customs agent to confirm which evidence applies to your shipment. Flag missing evidence to your accountant.

What if the courier fee shows no VAT?

Do not calculate a VAT claim yourself. Ask the courier to explain the treatment and give the invoice to your accountant. If VAT appears incorrectly charged, seek a refund from the courier.
