Own duty deferment account or customs agent?
Consider your own account for regular imports when your finance team can manage authorities, statements and funding. For occasional imports, compare the agent's payment terms and fees before taking on account administration. Agree the payment route before dispatch with your broker and Cambridge China Bridge.

Choose according to who will manage the payments
Your own account is worth considering when you import regularly, use different brokers or want your finance team to oversee customs payments. An agent's arrangements may be more convenient for occasional shipments. Ask whether the agent proposes using its own deferment account or collecting money from you before paying HMRC.
Compare administration, any guarantee costs, the agent's payment fees and the cash payment date. Keep the payment choice separate from who imports and who declares: our guides to the importer of record and appointing a customs agent cover those decisions.
Agree account authority before dispatch
For Great Britain, HMRC says you can set up or view an account-use authority on the Customs Declaration Service. If the broker will use your account, arrange that authority and obtain confirmation before dispatch. Treat the broker's appointment and permission to use your payment account as separate checks.
Record the authorised agent, permitted shipments and the person who approves each proposed charge. Ask the broker to confirm whose account will appear on the declaration. If the agent offers its own arrangements, obtain written acceptance of the shipment and payment terms rather than assuming the facility is available.
Check guarantees and the approved limit
For a Great Britain account, you can apply for a guarantee waiver with the account application. If you do not obtain waiver approval, HMRC requires a guarantee from a UK-established financial institution regulated by the Prudential Regulation Authority. A waiver application is not approval; budget for the outcome HMRC actually grants.
Ask HMRC or your guarantor what security your proposed limit requires, including any amount not covered by a waiver. Estimate the duty exposure when shipments arrive together, rather than using a quiet month's spending. HMRC says exceeding the guarantee level or deferment limit prevents further deferment for the rest of that calendar month.
Separate HMRC collection from the agent's invoice
A duty deferment account consolidates payments through monthly Direct Debit. HMRC automatically debits the deferred total on payment day. For your own account, ask your finance team to confirm the applicable collection date and available bank funds before committing the shipment.
When using the agent's arrangements, ask when you must pay the agent, whether it requires advance funds, and how it charges for payment handling. Do not budget on receiving the same credit period as the agent. Decide import VAT treatment separately: the clearance guide explains postponed VAT accounting alongside the clearance process.

Control usage and prepare for a broker change
HMRC's account management service lets you manage or view account authorities and download duty deferment statements. Review authorities when a broker relationship changes, and reconcile each charge against the declaration and shipment record. Give finance a named owner for investigating unexpected usage.
Before changing brokers, agree how outstanding entries, corrections and invoices will be reconciled. Verify the new payment arrangement before the next shipment. Keep a written alternative payment plan for insufficient account capacity, and ask who will approve any additional payment rather than leaving the decision until goods arrive.
Frequently asked questions
Do I need my own duty deferment account?
Consider it for regular imports if finance can manage funding and account usage. For occasional imports, compare the agent's fees, advance-payment requirements and administration first.
Can my customs agent use my deferment account?
HMRC allows account-use authority to be set up or viewed on the Customs Declaration Service. Arrange authority and confirm the intended account before dispatch.
Does a duty deferment account always need a guarantee?
For Great Britain, you can apply for a guarantee waiver. If waiver approval is not obtained, HMRC requires a qualifying financial institution's guarantee.
Do I pay my agent when HMRC collects the duty?
Check the agent's written terms. Ask for its invoice due date, any advance-funding requirement and payment-handling fee before relying on a credit period.
