UK VAT registration for an overseas company
Identify the company making the supplies, confirm its overseas principal business address, describe the intended UK transactions and gather evidence supporting the plan. Review the completed application before your agent submits it. Cambridge China Bridge can help organise the sourcing information for your tax adviser.

Identify the company applying
VAT registration attaches to a person or legal entity. Start by identifying the company that will enter into the customer contracts. Compare its legal name with the supplier orders, sales documents and company records. Explain any trading name separately rather than switching names between documents.
Prepare a short entity summary for your adviser, including any related company involved in purchasing or selling. Keep identifiers labelled clearly; our guide to UK tax numbers explains the distinctions.
Use the actual overseas business address
For a business without a UK establishment, HMRC registers the principal place of business outside the UK, where orders are received and daily operations take place. A registered, serviced or virtual office alone does not create a UK establishment.
Prepare documents that help explain where the business operates, such as premises records and order correspondence. Keep the agent's contact address and warehouse location separately labelled. Ask your adviser to resolve any discrepancy between the company records and the operating address before submission.
Describe the intended UK supplies
Write out the transaction flow: what you sell, who buys it, where the stock is held, who imports it and when sales are expected to begin. Ask your adviser to establish which transactions are UK taxable supplies. A business without a UK establishment cannot assume the ordinary turnover threshold applies.
Keep marketplace sales and direct sales separately described for review. Registration and importing are separate questions; use importing without VAT registration for that distinction, rather than applying its general turnover discussion to an overseas business.
Build an evidence pack around the plan
HMRC may ask you to demonstrate plans to make taxable supplies. Its intending-trader guidance explains that a contract showing intended taxable supplies can support that intention. Assemble relevant customer correspondence, orders, procurement documents and warehouse arrangements; these are practical suggestions, not a universal attachment checklist.
Index each document against the entity, address or supply statement it supports. Mark drafts and proposed arrangements clearly, and explain missing evidence honestly. Prepare the taxable turnover estimate for the 12-month period starting at registration, with assumptions your adviser can check.

Review and authorise the agent's submission
An agent can submit through their agent portal, but you remain responsible for accurate application information. Ask for the completed draft and check the applicant, overseas address, supply description, turnover estimate and proposed registration date against your evidence.
HMRC needs your authority before dealing with a VAT agent, and the notice specifies a letter. Agree the scope with the agent and retain the approved draft, authority and submission acknowledgement. Keep the later question of import VAT recovery separate; see VAT on imports.
