Is escrow safe for my first factory order?

Independent escrow can help if a checked operator holds money until clearly agreed conditions are met. It cannot replace supplier checks or inspection, and early release can remove its value. Before depositing, confirm the operator, applicable UK status, release triggers, dispute route and total fees. Discuss inspection evidence with Cambridge China Bridge.

Decide what escrow would protect

Ask the factory whether it accepts your proposed independent operator and when it needs money for production. If escrow releases the production deposit immediately, that money is already exposed to the factory. Identify which payment remains held and what must happen before release. Compare this with the structure in our supplier payment guide.

Check that the service accepts business purchases, your goods, the supplier’s location and the proposed currencies. Obtain the actual transaction terms before funding. Work through failed inspection and non-delivery examples with the operator. A promise to hold money is useful only if the agreed release and refund process addresses the risks you face.

Check the operator and applicable UK status

Identify the legal company contracting with you, the company holding funds and any separate payment provider. Ask about ownership and connections to the supplier. Compare a claimed UK company’s details with Companies House records, then verify its website and contact details independently. Confirm the funding account through a separately verified contact, rather than relying on a supplier’s link.

HMRC says money transmitters must be registered or authorised by the Financial Conduct Authority. Ask the operator to explain how its actual service fits the applicable UK regulatory position. Independently check the named entity’s register entry, current status, payment services and contact details. If it claims an exemption or uses a regulated partner, obtain the written basis and identify who performs each activity.

Do not treat a company registration certificate or an HMRC registration claim as the answer to the payment-services check. Pause over unexplained entity mismatches or borrowed regulatory details. Request an explanation of protection during the holding period and recovery if the operator fails, using our payment safeguarding guide.

Make release conditions testable

Put the specification, approved sample, inspection standard, required documents and release authority into terms accepted by you, the factory and the operator. State whether release follows inspection, dispatch or receipt, and who supplies evidence. Confirm that the operator will accept your chosen inspector’s report. Use our inspection guide to plan the goods check.

Ask what starts any acceptance period, how much time you have to inspect, and whether silence or courier delivery automatically releases funds. Allow for unpacking and agreed testing. Define how failed inspection, partial delivery, rework and amended orders affect release. Request a worked example showing exactly when money moves and whether a disputed amount can remain held.

Understand disputes before money moves

Separate a disagreement about the goods from a complaint about the escrow operator’s service. For goods disputes, ask how to lodge an objection, which deadline applies, and whether that objection stops release. Establish who decides, what evidence they accept, whether they assess quality or only documents, and what happens if the supplier refuses to cooperate. For compensation discussions, see our guide to future-order discount offers.

Ask about review of a decision, refunds, return freight, storage and dispute costs. Check the governing law and named dispute forum in the terms without assuming a UK route. For operator complaints, obtain its complaints procedure and ask whether your business and service qualify for the Financial Ombudsman Service. Use our payment complaint guide for escalation checks.

Compare total fees and approve the deposit

Request a written cost breakdown covering setup, holding, release, currency conversion, bank transfers, cancellation, refunds and disputes. Ask about minimum charges, extensions, deductions from refunds, applicable tax and who pays each charge. Obtain worked totals for successful completion and cancellation, including what the factory actually receives.

Compare those costs and the cash tied up with the amount that would otherwise be exposed. Deposit only after the factory accepts the arrangement and you have saved the terms, verified funding instructions, release conditions and dispute procedure. Cambridge China Bridge’s own staff in China can help prepare factory inspection evidence; ask the escrow operator to confirm its acceptance before relying on it.

Frequently asked questions

Is independent escrow worth it for a small factory order?

It may be, if meaningful funds stay held until useful checks are complete. Compare the total fees and cash tied up with the payment exposure it removes.

How do I check an escrow company before paying?

Identify the contracting and fund-holding entities. Verify independent contact details and applicable payment-services status. Resolve mismatches and confirm the funding account before depositing.

Can escrow release money before I inspect the goods?

Check the terms for release on dispatch, courier delivery or silence after an acceptance period. Agree an inspection opportunity and a clear objection process before funding.

Will I get all my money back if the factory order fails?

Do not assume so. Ask what triggers a refund, who decides a dispute, which fees remain payable and whether return freight or other deductions reduce what you recover.
