Incorrect Direct Debit for my China order

Ask your bank to confirm the payment was a Direct Debit, record what was collected incorrectly and request a refund under the Direct Debit Guarantee. Separately, reconcile the seller’s invoice and any disputed balance. Cambridge China Bridge can help clarify order records and supplier communication.

Confirm how the payment was taken

This guide concerns a personal purchase from a UK sourcing seller. Check the bank statement and ask your bank to identify the payment method. Ask specifically whether it was a Direct Debit, a recurring card payment, a standing order or a bank transfer. An automatic payment or an entry labelled with the seller’s name is not enough to identify the route.

Match the collecting organisation to your order confirmation and invoice. Ask the seller to explain any unfamiliar collection name. Check who sold you the goods using our seller or agent guide. If you accidentally sent duplicate transfers, use our duplicate supplier payment guide.

Make a clear record of the collection error

Save the statement entry, Direct Debit instruction, collection notice, agreed payment schedule, invoice and relevant messages. Record the amount and date agreed, the amount and date collected, the collection reference and the seller’s explanation. Describe the specific discrepancy, such as a changed amount, an unexpected collection date or a repeated collection.

Keep a collection error separate from dissatisfaction with the goods. If the collection matched the agreed payment details but the order is faulty, late or unwanted, describe that issue separately to the bank and seller. Avoid calling a payment unauthorised merely because you now dispute the order.

Request the refund through your bank

The Direct Debit Guarantee provides an immediate refund if a Direct Debit is taken by mistake. Contact your bank through its usual secure channel and request a refund under the Guarantee, explaining the collection error and supplying your records.

You can write: ‘Please confirm that this collection was a Direct Debit. I am requesting a refund under the Direct Debit Guarantee because the collection differed from the agreed payment details as shown in the attached records.’ Insert the actual discrepancy. Keep the case reference and check your statement for the refund. If the bank declines, request its explanation in writing and ask how to raise a complaint.

Control further collections and overlapping refunds

Ask the bank what is needed to cancel the Direct Debit instruction if you want further collections stopped, and whether anything is already being processed. Tell the seller in writing what you have requested. Ask it to confirm the status of future collections and propose a payment arrangement for any agreed balance.

Tell the seller about your bank refund request before accepting a separate repayment of the same collection. If both arrive, contact the bank and seller to reconcile them before moving the money. Keep refund promises, seller credits and money actually received as separate records.

Resolve the seller’s payment claim separately

Keep the bank refund and the order balance as separate matters. Ask the seller for a statement showing the agreed price, payments retained, refunds, credits and the balance it claims. Request the contract term and calculation supporting any disputed charge. Arrange payment of an agreed, undisputed balance through a verified route, taking account of any pending collection.

If you want to end the order, use our personal order cancellation guide and seek separate confirmation of the cancellation and resulting balance. If a collector contacts you, use our disputed personal order debt guide. Send the relevant records and explain what remains disputed. Seek advice if the seller’s claim remains unresolved.

Frequently asked questions

How do I know whether it was a Direct Debit?

Ask your bank to identify the transaction type and collection reference. Do not rely only on the seller’s name or the fact that the payment happened automatically.

Can I get an incorrect Direct Debit refunded?

The Direct Debit Guarantee provides an immediate refund when a Direct Debit is taken by mistake. Ask your bank for the refund and explain the specific collection error.

Does a bank refund mean my China order is cancelled?

Seek separate written confirmation from the seller about cancellation and the resulting balance. Keep the bank refund record separate from the order dispute.

What if the seller still says I owe money?

Request an itemised statement, the supporting contract term and its calculation. Explain disputed charges in writing and arrange payment of any agreed balance without duplicating a pending collection.
