How to amend a letter of credit for a China order

Agree the revised order with the supplier, then submit exact replacement wording to your issuing bank. Check shipment, expiry and document deadlines together, confirm quantities and value, and obtain the issued amendment and recorded supplier acceptance before releasing shipment. Turn the order change into an amendment request

Prepare a change schedule showing the current credit wording, proposed replacement and reason for each change. Attach the revised purchase order and the supplier’s written agreement. A letter of credit links the bank’s payment undertaking to documents that comply strictly with its terms within a specified time. Treat the revised purchase order and the bank amendment as separate checkpoints. Ask the bank to confirm the applicable amendment procedure and when the revised terms become effective.

Check dates, quantities and value together

For a delayed shipment, review the latest shipment date, expiry date, place of expiry and document presentation period together. Ask the supplier and forwarder whether the proposed timetable allows the transport document to be issued and the complete document set to reach the bank. Extending only the shipment date can leave the paperwork timetable unworkable.

For a quantity change, reconcile each product line, unit price, total credit amount and any quantity or value tolerance. Review partial shipment arrangements if the order will leave in separate batches. Ask the bank whether an increased amount or longer validity needs further facility approval or security.

Make the revised documents achievable

Review every affected document clause: commercial invoice, packing list, transport document, insurance document and any inspection certificate named in the credit. Specify the required issuer and wording clearly. Ask the supplier, forwarder and inspector to review draft documents against the proposed amendment before you submit it.

Check whether changed quantities, packaging or shipment arrangements affect descriptions, weights, freight terms or insurance details. Avoid adding a certificate that nobody has agreed to issue. Keep the physical goods checks in our pre-payment checklist; matching paperwork alone is not a quality check.

Record bank confirmation and supplier acceptance

Ask the issuing bank to approve and issue the amendment through its banking channel. Obtain the issued amendment and compare it with your requested wording. Ask how it will reach the supplier through the advising bank. If the credit is confirmed, ask whether the confirming bank will extend its confirmation to the amended terms and request written confirmation.

Ask the supplier to review the entire issued amendment and record acceptance through the channel the bank specifies. Obtain evidence of that acceptance from the bank. If the supplier objects to a clause, resolve it with the bank before shipment. Keep dispatch on hold while the amendment’s status or acceptance remains unclear.

Agree costs and release shipment

Request an itemised bank quote covering amendment, advising and any confirmation charges, plus any additional facility or document handling costs. Ask whether charges apply if an amendment is rejected or needs correcting. Agree with the supplier who bears each charge and how it will be settled; avoid an unexplained deduction from the invoice.

Before dispatch, bring together the original credit, issued amendments, bank status confirmation, supplier acceptance, revised order and checked document drafts. Can I amend a letter of credit by email?

Do I need to extend the expiry date too?

What if the supplier rejects the amendment?

Hold dispatch, identify the disputed wording and agree a workable replacement with the supplier and bank. Ask the bank to confirm which terms remain effective while acceptance is unresolved.

Who pays letter of credit amendment fees?

Request the banks’ itemised charges and agree their allocation with the supplier before submitting the amendment. Include any confirmation or facility changes and ask about charges for further corrections.
