Debt collector chasing a cancelled China order?

Verify the collector, creditor and balance before paying. Send a written dispute with cancellation, refund or complaint records, and ask for the documents supporting the demand. Treat court papers separately and respond by their deadline. Ask Cambridge China Bridge for any sourcing records it holds.

Verify who is demanding payment

This guide concerns purchases for yourself, your home or your family, including personal orders placed by business owners. Match the demand to your order reference, seller’s legal name and invoice. Ask whether the collector acts for the creditor or says it now owns the debt, and request supporting authority or transfer documents. Check whether the demand concerns goods, a separate sourcing service or finance.

Contact the seller through details you already trust to confirm the referral. Independently check the collector’s contact details before sending records or using a payment link. Request an account statement showing the original charge, payments, refunds, credits and added fees, with the basis for each disputed charge. Use our seller and agent guide to untangle the parties.

Identify exactly what you dispute

Explain whether you dispute the whole balance, an added fee, a separate service charge or an order you do not recognise. For cancellation, identify the notice and the seller’s response. For a refund, distinguish the seller’s promise from money actually received. For faulty goods, identify the agreed specification and the complaint still awaiting resolution.

Read our personal-order cancellation guide for cancellation rights and exceptions. Here, focus on why the demanded balance does not match your records. Ask the creditor to explain any remaining charge after cancellation or refund rather than assuming that every part of the account has been closed.

Send a written dispute to both parties

Adapt this wording: “I dispute the balance demanded for order [reference] because [reason]. My supporting records are attached. Please provide the agreement, an itemised account and documents explaining your authority to collect. Please explain how the cancellation, refund or complaint has been reflected in the balance. I request that collection activity be paused while you investigate and that you reply in writing.”

Send it to the verified collector and creditor, retaining the message, attachments and proof of sending. State only facts your records support. Request a pause without assuming your request stops proceedings or changes a court deadline. If you receive a letter before claim, read its proposed action, response date and enclosed forms promptly; seek advice about the appropriate reply.

Build a file that explains the balance

Keep the accepted quote, order confirmation, terms supplied when ordering, invoice, payment records, cancellation notice, seller’s acknowledgement, refund confirmation and evidence of money received. Add return tracking, delivery records, photographs and complaint correspondence where relevant. Preserve original messages and attachments, including the demand and its envelope. Send relevant copies, masking unrelated financial information.

Write a dated chronology and reconcile the demanded balance against payments, refunds and credits. Mark missing documents and unexplained fees. After a phone call, send a written account of what was discussed. Ask Cambridge China Bridge for any order, factory or inspection correspondence it holds; those records support your account but do not decide the dispute.

Separate collection letters from court papers

A collection demand or letter before claim is not itself a court judgment. A judgment means the court has formally decided that you owe money. If papers claim to come from a court, verify them using independently found court contact details. For an England and Wales money claim, follow the response instructions and respond by the stated date. Seek help with a defence if you dispute the claim; replying only to the collector is not a substitute.

Do not wait for the seller’s investigation before dealing with court papers. Seek prompt advice if you receive a judgment or enforcement notice. For Scotland and Northern Ireland, confirm the applicable court process with the relevant court or a legal adviser, using our UK seller dispute guide for preparation. Free, confidential and independent debt advice is available through organisations listed by the UK government.

Frequently asked questions

Should I pay a debt collector after my China order was refunded?

Check the refund received against the demanded balance. Ask for an itemised account explaining any remaining goods, service or other charge, and dispute unexplained amounts in writing.

What should I write to dispute a debt collection letter?

Identify the order and disputed balance, explain your reason, attach relevant records and request the agreement, account calculation and collection authority. Ask for a written reply and a pause while it is investigated.

Is a debt collection letter a court judgment?

No. A judgment means a court has formally decided you owe money. Check whether you have a collection demand, letter before claim, court claim or judgment, and seek advice if uncertain.

Can I ignore court papers while the seller investigates?

No. For an England and Wales money claim, respond by the stated date and follow the court instructions. Your complaint to the seller or collector does not replace that response.
